Occupational Summary 

Directly and indirectly coordinate functions of Department of Neurology Internally-Sponsored fellowship programs. Work with the Vice-Chair of Education, Program Directors and current program manager to maintain compliance and accreditation of Internally-Sponsored fellowship programs. 

Work Performed 

· Provide administrative support to Vice-Chair of Education. 

· Coordination of fellowship education conference. 

· Program Coordinator for Internally-Sponsored Fellowship Programs 

· Develop a thorough knowledge of the Department’s Internally-Sponsored fellowship programs to enhance department efficiency. Acquire knowledge of current rules, regulations and institutional requirements and coordinate the following: 

o Ensure fellowship education programs are compliant with departmental, hospital and program accreditation policies. 

o Coordinate fellowship program recruitment using multiple platforms, working with the program directors regarding logistics. 

o Perform all onboarding and offboarding activities for program trainees, working directly with the GME office to ensure compliance and completion. 

o Input fellowship program rotation schedules in MedHub, monitor and update as needed. Ensure scheduling activities are compliant with program accreditation requirements (including work hour tracking). 

o Enter program evaluations using various platforms and track completion. 

o Compile necessary data for all annual reports and required program evaluation meetings, ensuring continuous quality improvement and accreditation. 

o Attend GME related meetings. 

o Execute distribution of reports and information as required. 

o Maintain program files. 

o Complete program verification requests per protocol. 

o Advise supervisor as to the status of program activities and make recommendations for solution to problems identified. 

· Process and track expense reimbursements in Concur for fellowship and resident trainees and P-card expense reports for residency and fellowship program coordinators. 

· Order lunch for residency program conferences. 

· Perform other related duties incidental to the work described herein. 

Required Qualifications at this Level 

Education/Training 

Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program. 

 

Experience 

Work requires one year of experience in program administration or involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of program activities and events.
