Job Summary
With minimal supervision and an understanding of landscape, hardscape, irrigation and estimating, the Maintenance Account Manager manages and cultivates client relationships to ensure account retention and achievement of profitability objectives for HOA, commercial, and municipal accounts. Acts as the primary interface between the client and the company maintenance and support teams. Oversees and directs landscape maintenance service and enhancement activities while maintaining the company’s commitment to ethical business practices and quality services.
Essential Functions

Specific tasks, responsibilities or competencies may be documented in the incumbent’s performance objectives as outlined by the incumbent’s immediate supervisor or manager.
1. Ensures client retention and optimal quality services by recruiting, orienting, training, coaching, and managing the performance of a team of field supervisors, technicians and laborers in a manner that embraces the Company’s commitment to ethical business practices and quality service.
2. As the primary contact with community managers and board members, ensures open lines of communications, maintains an intuitive awareness of expectations, and acts as a trusted advisor. Participates in activities including but not limited to pre-start maintenance meetings, HOA board meetings, regular walk-throughs, and participates in company and/or community events. Leverages relationships and transparent communications to deliver a top-quality maintenance experience.
3. Acts as the primary point of contact with internal and external stakeholders to regularly relay the status of maintenance accounts, maintenance activities, the status of budget and sales, and remediation plans. Produces reports as appropriate.
4. Through regular observation and assessment of properties, identifies opportunities for enhancements and captures using company systems. Confers with community managers and HOA boards to present options. Works with internal support teams to facilitate an accurate proposal that aligns with the community’s budget and the company’s profitability objectives.
5. On a regular basis, conducts daily, weekly and/or monthly walk-throughs to assess if the maintenance service meets company standards and contracts. With an eye for attention, detail, and expectations consistent with the company’s expectations for quality and integrity, sets forth detailed remediation plans, timelines, and expectations for execution.
6. Participates in regular meetings with foremen and technicians to understand the current state of maintenance service projects, water management programs, irrigation billable goals, job costing accuracy, equipment maintenance, and upkeep and any potential issues. Collaborates with teams to develop and manage plans that reinforce the company’s commitment to safety, quality standards and ethical business practices.
7. On an ongoing basis, assesses and evaluates the maintenance team’s execution of landscape best practices, including but not limited to turf maintenance; trimming, and pruning trees and shrubs; and maintaining irrigation. Identifies and electronically captures punch list items and sets forth detailed and time sensitive plans to address. Remains current on issues and resolves with a sense of urgency to maintain service quality and adherence to property contracts.
8. Develops and maintains adherence to budgets for each property while meeting profitability goals. This includes but is not limited to building annual budgets that meet property needs, delivering seasonal proposals, managing labor costs, and processing billing or seasonal items and/or irrigation invoices.
9. Upholds the organization’s commitment to safety by monitoring and reinforcing safety practices. This includes conducting regular safety meetings, ensuring that safety procedures and equipment operations comply with safety procedures; documenting and reporting any unsafe conditions as appropriate; documenting and reporting accidents in a timely manner; and ensuring any workers’ compensation claims are documented and immediately reported.
10. Maintains and ensures updated and accurate documentation and information for respective properties using company systems, including maps e.g., cycle map, fertilizer map, tree inventory, irrigation map, etc.
Marginal or Additional Functions
1. Assists with and supports maintenance estimating and production rates.
2. Maintains currency in field by seeking information from product manufacturers to learn and understand new components that may affect or influence landscape projects. Applies knowledge to value engineering efforts as appropriate.
3. In the spirit of continuous improvement, engages in collaborative feedback and reflection on maintenance projects to improve upon execution of quality services. Makes recommendations as appropriate or apparent.
4. Performs other duties as assigned or apparent.
Supervisory and Managerial Responsibility
- This role has direct oversight/supervisory authority for maintenance superintendent, maintenance foreman and irrigation technicians and indirect reporting relationships with maintenance teams. This includes but is not limited to attraction, recruitment, training, and performance management.
Knowledge, Skills, and Abilities
Education, Licensure or Certification:
- A solid knowledge of irrigation, construction and landscape as normally obtained through an associate degree in horticulture, construction management or similar field is required. Commensurate experience may substitute for a degree.
- Professional landscape certifications e.g., Certified Landscape Professional (CLP) or Sustainable Landscape Management (SLM) preferred.
- Must possess a valid state issued driver’s license and be insurance on the Company’s auto insurance policy.
Work Experience or Related Experience:
- A minimum of three years’ experience in landscape maintenance and management or a closely related field is required to manage properties as described.
- At least one year’s proven experience in a senior or lead role in which incumbent provided direction, training, coaching, and guidance is required. Experience managing highly skilled technicians and supervisors is strongly preferred.
- Experience in which the incumbent has engaged in identifying and understanding, providing solutions and presenting recommendations is required.
Specialized Knowledge, Skills & Abilities:
- An in-depth knowledge and understanding of landscape practices, plan establishment, irrigation construction practices and the ability to read and interpret chemical labels and MSDS information is required to manage the implementation and on-going activities of landscape maintenance as described.
- An in-depth knowledge of plant materials, horticultural practices and hardscapes is highly preferred to manage and maintain landscaping jobs as described.
- Knowledge of and the ability to enforce safe work practices is required.
- Excellent communication, presentation and interpersonal skills are required to develop and lead a team and interface professionally and constructively with community managers and HOA board members as described.
- The ability to focus and maintain an attention to detail to assess properties and identify issues for resolution.
- The ability to effectively use technology to produce work and create efficiencies as described is necessary.
- Self-motivated and strong organizational, leadership and decision-making skills to address and resolve schedule, budget and quality maintenance issues and set forth a course of action.
- Must have the ability to embrace challenges and lead a team. Able to motivate and manage performance as described.
- The ability to effectively use technology to track and manage the team’s efforts and manage maintenance activities.
- The ability to work independently, drive oneself to initiate and complete tasks and implement strategies to track and gauge personal performance is required. This includes the ability to handle multiple maintenance jobs simultaneously, adjust to changing priorities and deliver results in a timely manner.
- The ability to maintain the confidentiality of bids, contracts and other sensitive information is necessary.
- The ability to work effectively with and through others and deliver results while creating a highly supportive environment. This includes sharing information, collaborating to reach organizational goals, respecting individual differences and viewpoints, and treating others with dignity and respect.
- A general awareness of trends and developments in the hardscape and landscaping industry and the ability to consider the present and future impact to the organization is highly preferred.
Travel Requirements and Conditions
- Frequent and daily local travel to visit job sites and clients is required. This may include travel within a 150-mile radius of the respective Company office.
Work Environment, Conditions and Demands
- Work is performed in an office environment and at job sites. Incumbents frequently operate or ride in a vehicle while traveling from site to site.
- Job requires working outdoors in all types of weather conditions and exposure to the elements. This also includes exposure to heavy to moderate noise, extreme proximity to moving equipment or machinery, proximity to electrical energy, and exposure to tools and machines used in the construction industry.
