Key Responsibilities:
CEO Enablement and Strategic Support:
- Proactively anticipate the CEO’s needs for every engagement and meeting by preparing briefs, background material, and strategic context.
- Coordinate and optimize the CEO’s schedule to ensure the highest and best use of her time—aligning meeting cadence with company priorities and minimizing unnecessary time expenditures.
- Serve as a thought partner for time allocation decisions; recommend adjustments based on urgency, importance, and strategic value.
- Consistently review upcoming meetings and travel to plan in advance and avoid last-minute adjustments or inefficiencies.
Calendar, Meeting, and Communication Management:
- Manage a dynamic, complex calendar involving executive meetings, board engagements, internal briefings, external appearances, and travel.
- Coordinate meeting logistics, agendas, materials, and outcomes for internal leadership and cross-functional stakeholder meetings.
- Ensure CEO is on schedule throughout the day—provide real-time updates and proactive communication to involved parties.
- Act as liaison with executive team and external partners; facilitate streamlined communication and seamless coordination.
- Track and manage follow-ups to ensure the CEO’s commitments are executed effectively and efficiently.
Governance and Strategic Initiatives:
- Lead end-to-end project management for CEO-led initiatives such as GovTech Titans and Listening Tours, including scheduling, stakeholder coordination, and post-production workflows.
- Support the CEO in preparation for Board of Directors and key client meetings by curating agendas, briefing materials, and presentations.
- Maintain a proactive system to monitor and ensure timely completion of CEO communications, follow-ups, and internal/external responses.
Travel and Logistics:
- Utilize Navan to oversee all travel arrangements with a focus on comfort, efficiency, and contingency planning.
- Track travel rewards and maintain organized travel documentation.
- Coordinate all logistics for offsite leadership meetings, board gatherings, and high-level events.
Operational and Administrative Excellence:
- Serve as the central point of contact for all administrative tasks involving the CEO, from personal scheduling to confidential matters.
- Assist with reconciliations and expense submissions in Ramp.
- Develop and execute communications campaigns and themes, including social media, internal newsletters, and public-facing campaigns in partnership with the communications team.
Skills/Qualifications:
- Minimum 5 years of experience supporting C-suite executives in a high-growth, fast-paced organization.
- Pacific Time Zone working hours are required.
- Greater Sacramento area preferred.
- Technically proficient in Microsoft Office Suite; experience with CRM tools (e.g., Salesforce) is a plus.
- Exceptional judgment, discretion, and integrity when handling sensitive and confidential information.
- Proven ability to predict executive needs and independently prioritize multiple high-level requests.
- Strong communication skills, both written and verbal, with an executive presence.
- Highly organized with a strong attention to detail and a proactive mindset.
- Comfortable working outside of standard hours when necessary.
- Deep commitment to e.Republic’s mission of serving state and local government and education.
- Must be in a work environment with reliable Internet access.
