Position Summary
The Entry-Level Field Operations Assistant provides administrative and logistical support to the Field Operations Manager, Assistant Field Operations Manager and field crews. This role is ideal for someone looking to build a career in industrial operations and gain hands-on exposure to project coordination, cost tracking, and field support in a fast-paced environment.
Key Responsibilities
Administrative & Project Support
- Assist with issuing purchase orders (POs) for projects and operational needs
- Help track project costs and compare spending to budgets under supervision
- Review submitted timesheets and assist with time approvals
- Support expense report review and processing
Field Documentation & Compliance
- Verify that Job Safety Analyses (JSAs), production reports, timesheets, and equipment maintenance forms are completed and posted to Trello
- Track safety training records and notify management of upcoming or missing requirements
Timekeeping & Systems Support
- Assist technicians with entering time accurately and on schedule in QuickBooks
- Monitor timesheet submissions and follow up on missing or incorrect entries
Operations & Logistics Support
- Coordinate travel arrangements for field personnel
- Assist with setting up new vendors and maintaining vendor records
- Help gather pricing and availability for equipment rentals, trucking, and crane services
- Assist with securing rentals and coordinating delivery schedules
Skills & Experience
Required
- High school diploma or equivalent (college coursework or degree a plus)
- Strong organizational skills and attention to detail
- Basic computer skills and comfort learning new software systems
- Ability to manage multiple tasks and meet deadlines
- Clear written and verbal communication skills
- Reliable, punctual, and professional
Preferred (Not Required)
- 0–2 years of experience in an administrative, operations, or construction support role
- Exposure to accounting, timekeeping, or project tracking software (QuickBooks, Trello, Excel, or similar)
- Interest in construction, dredging, dewatering, or industrial operations
