Job Title:Business Committee Administrative Assistant
Part-Time Non-Exempt Wage: TBD
General Definition:The select candidate will schedule appointments, provide information to callers, and otherwise will relieve officials of clerical work and administrative and official details. The highest duty of this position is excellence in service to Eastern Shawnee Tribal citizens.
Supervision Received:Chief of Staff
None
Essential Job Functions:
· Welcomes visitors, determines the nature of their needs, and directs visitors or calls to the appropriate personnel.
· Answers and screens telephone calls directed to the Business Committee (BC) and arranges conference calls as needed.
· Prepare outgoing mail and routine correspondence, including e-mail and faxes.
· Maintains adequate supply stock and arranges necessary equipment maintenance.
· Requisitions for expenses with appropriate codes and within budget guidelines.
· Following Business Committee meetings prepares/sends memos, directives, letters to appropriate individuals/companies i.e., decisions made by the BC as directed by the Chief of Staff or Director of Operations.
· May be required to sit on Committees and other groups to keep the BC informed as delegated.
· Coordinates the Business Committee’s schedule, making appointments and scheduling conference calls as directed.
· Routes incoming mail appropriately.
· Files all documents and correspondences appropriately.
· Organize and maintain file system and files correspondences and other records.
· Arranges and coordinates for the Business Committee travel details as requested.
· Conducts research, compiles information and prepares statistical reports.
· Represents the Tribe in a professional manner at all times, when working with Tribal citizens, dealing with outside entities and situations with fellow employees.
· Other duties as assigned
Education:
· High School Diploma or GED required
· Associate degree (A.A.) or equivalent from a two-year college or technical school; or 3-4 years proven administrative office experience required; or an equivalent combination of education and experience.
· Experience working for a Native American Tribe preferred

· Must be able to pass an adjudicated background check as a condition of employment.
· Must be able to pass a pre-employment drug test as a condition of employment.
· Must have positive verifiable references and work history.
