I. Position Summary
The Assistant Director of Events and Visitation is the driving force of the Eastern University visit experience. Reporting to the Senior Director of Undergraduate Admissions, this position is responsible for strategic leadership and implementation of Eastern University’s campus visitation plan and Admissions events. This position supervises the Admissions Events Coordinator & Operations Specialist, and a team of student ambassadors. It is responsible for ensuring that students and their families have positive, welcoming, and well-rounded experiences during their campus visit. This position will require occasional nights and weekends.
II. Position Responsibilities
A. Responsible for scheduling, tracking, and preparing individual and group visits of prospective students and their families, ensuring excellent experiences for every Admissions guest who visits campus.
o Welcome all visitors and guests with the highest level of customer service
o Create comprehensive visitation plans, and continuously seek ways to meaningfully improve the experience for all campus visitors
o Work collaboratively with counselors, coaches, and professors to personalize visitations
o Maintain and update Customer Relationship Management (CRM) system for visit scheduling, tracking, and trends
o Prepare reports surrounding efficacy of campus visitation, and analyze data to support decision making
o Ensure campus and Visitation Center are prepared for visits, including restocking inventory, certifying cleanliness, and placing proper signage
o Communicate effectively with prospective students and Admissions counselors, including confirmations, cancelations, and rescheduling
o Hire, train, and supervise 10-20 student ambassadors responsible for providing campus tours and administrative duties in-office
B. Responsible for planning, organizing, and implementing special Admissions events, including Open Houses and Accepted Students Day.
o Plan events that will be engaging, informative, efficient, and well-attended
o Coordinate with Eastern University officials and third-party vendors
o Initiate mass communications with prospective students to garner enthusiasm and interest in attending events, and supervise student ambassadors to assist with promotions
o Maintain and update Customer Relationship Management (CRM) system for events scheduling, tracking, and trends
o Responsible for seamless execution of the event on day of, including delegating duties, resolving any issues, and assuring plans are implemented as intended
o Prepare post-event evaluations
C. Responsible for day-to-day management of the Visitation Center and duties associated with the position.
o Answer phone calls and respond to emails for the Visitation Center
o Manage the Visitation Center desk, welcoming guests with outstanding customer service and answering questions as needed
o Maintain inventory for Admissions Department, including ordering, tracking, invoicing, and establishing proper amounts
o Supervise the Admissions Events Coordinator & Operations Specialist, and provide back-up when necessary
o Participate in marketing and communications planning
o Maintain Undergraduate and visit calendar
o Correspond with high schools, and mail promotional items
o Ensure visit and conference rooms are cleaned and prepared
o Handle credit card requisitions and check requests for department

2. Bachelor’s Degree required
3. Event planning experience preferred
4. Strong customer service skills
5. Ability to analyze data to make informed and creative decisions based on empirical information
6. Proven ability to effectively communicate in both writing and verbally
7. Flexible, team-oriented, collaborative, positive work ethic and attitude
8. Possess a valid Driver’s License and suitable driving record.
9. Competence in desktop software, spreadsheet and database management
10. Ability to prioritize and multitask
11. Experience successfully leading and managing a high performing team

13. Experience excelling in a high volume, customer service oriented environment preferred
