Job Overview: Office Administrator
We are seeking a highly organized and customer-focused Office Administrator to be the central point of contact for our charter bus transportation company. The ideal candidate will manage a variety of administrative and operational tasks, ensuring the smooth and efficient quoting, booking and coordination of our services. This role is crucial for both customer satisfaction and internal team support.
Key Responsibilities:
* Serve as the primary point of contact for incoming calls, providing professional and friendly customer service.
* Quote and book charter bus trips, gathering all necessary details from clients, and ensuring accuracy in all reservations.
* Answer customer inquiries, and assist with any pre- or post-trip questions.
* Administrative & Human Resources Support:
* Maintain and update all driver files, ensuring compliance with company and regulatory requirements.
* Schedule and coordinate employee evaluations and meetings, managing calendars and sending out notifications.
* Handle general office duties, including filing, data entry, and managing correspondence.
* Operational Support:
* Act as a liaison between drivers, management, and customers to ensure clear communication and resolve any scheduling conflicts or issues.
* Assist with the preparation of trip-related documentation as needed.
Skills and Qualifications:
* Proven experience in an administrative or customer service role.
* Excellent communication skills, both written and verbal, with a professional and friendly phone manner.
* Strong organizational and time-management skills, with a keen attention to detail.
* Proficiency in Microsoft Office Suite/ Google Sheets, Docs
* Ability to multitask and prioritize in a fast-paced environment.
* Experience in the transportation or logistics industry is a plus, but not required.
