We are currently seeking a Billing Administrative / Front Reception professional to fill a vital role in our administrative operations. This position is Full-Time and requires the candidate to work onsite at our office, as it is not eligible for remote work arrangements. The successful applicant will play a pivotal role in managing our front desk operations while ensuring efficient handling of our billing processes.

As a cornerstone of our administrative team, this role demands precision and a proactive approach to handling various tasks that are essential to our daily operations. The Billing Administrative / Front Reception position is perfect for an individual aspiring to contribute to a secure, welcoming, and organized business environment, ensuring that all visitors and calls are handled professionally and that billing duties are executed flawlessly.

Duties and Responsibilities
  • Manage the front desk while greeting and directing visitors appropriately.
  • Handle incoming calls, providing information, taking messages, or redirecting calls to appropriate departments.
  • Execute billing tasks using QuickBooks, ensuring accuracy and timely dispatch of invoices.
  • Maintain and organize electronic and hard copy billing files.
  • Track the status of jobs, updating spreadsheets and reporting to management as needed.
  • Prepare payroll and ensure that all related records are accurately maintained.
  • Purchase office and kitchen supplies, managing inventories to ensure availability of necessary materials.
  • Assist in the preparation and maintenance of financial documents.
  • Provide general administrative and clerical support including mailing, scanning, faxing, and copying.
  • Maintain professional appearance and conduct that reflect the company’s values and standards.
Requirements
  • Proven experience in billing and administrative roles, preferably in a front office setting.
  • Competency in QuickBooks with a specific focus on billing processes.
  • High degree of professionalism in appearance and demeanor.
  • Reliability with a track record of adhering to ethical work standards.
  • Strong ability to multitask and prioritize work effectively.
  • Quick learner with the ability to easily adapt to new programs and systems.
  • Excellent customer service skills with experience in handling calls professionally.
  • Proficient in using Microsoft Office Suite, particularly Excel for spreadsheet management.
  • Clean background check, ensuring compliance with company and regulatory standards.
  • Experience in preparing payroll documents and understanding basic financial transactions.
