This position is a grade 16 with a minimum of $66,075 and a mid-point of $88,100 Salary offer will be commensurate with the education/experience, in alignment with the College’s compensation philosophy, and the current CBA, if applicable.

Job Summary:


An employee in this classification performs work of considerable difficulty to manage and supervise federal, state, institutional, and private student financial aid programs, which includes scholarships, grants, student employment programs, loan programs, sponsorships and veterans’ benefits. Work is distinguished by the ability to secure financial resources for students to help fund their education at ECC. Direction is received by the assigned manager.


Required Knowledge, Skills & Abilities:


  • Bachelor’s Degree required.
  • Five years of financial aid experience with progressively increasing levels of responsibility required.
  • Three years of supervisory experience required in a financial aid office preferred.
  • Considerable knowledge of Federal and State financial aid regulations.
  • Considerable skills to promote concepts of fiscal responsibility and compliance with peers, auditors, faculty and staff.
  • Considerable customer service skills.
  • Considerable skill in the use of the Microsoft Office Suite, including but not limited to Word, Excel, Access and Publisher
  • Considerable skill in organizing work to meet established deadlines while maintaining attention to detail.
  • Working skill in interpersonal interaction to be applied to a variety of individuals with differing education, ethnic and socio-economic backgrounds.
  • Working skills in verbal and written communication.
  • Working skill in operating a personal computer, applicable software and peripheral equipment as well as learning and adapting to new and updated programs and technology.
  • Must be available to work a flexible schedule, including evenings and weekends when required by the department’s needs.


Desired Knowledge, Skills & Abilities:

1. Experience at a Community College.
2. Three years of supervisory experience in a financial aid office.

Essential Duties:


  • Interpret and implement federal and state regulations that govern financial aid programs administered through the Financial Aid & Scholarships office. Review and maintain all institutional policies regarding the Financial Aid & Scholarships office. Recommend institutional action when appropriate.
  • Ensure federal, state and institutional compliance by following and updating the Policies & Procedures Manual for the department as well as providing training for staff.
  • Oversee the completion and filing of various federal and state reporting requirements, including, but not limited to: FISAP, IPEDS, Higher Learning Commission Report, Participation Agreement, Eligibility and Certification Approval Report, MAP Budget, Federal Audit, EZ Audit, and ISAC Audit. Also oversee the accreditation process for all programs eligible to receive financial aid.
  • Supervise, train, and conduct performance appraisals of staff, including hiring, discipline, and termination.
  • Develop office schedule and maintain coverage for office hours as well as on and off site events.
  • Develop training programs for members of the staff for the continuation of professional growth.
  • Represent the office and the college in regards to financial aid program audits and prepare recommended responses to findings. Prepare audit schedules and gather information as requested by auditors. Write and implement corrective action plans.
  • Act as the contact with administrators and staff to clarify, demonstrate and communicate financial aid data.
  • Coordinate in-house and off-campus workshops/presentations designed to educate the public regarding financial aid.
  • Manage the Satisfactory Academic Progress policy for financial aid. This includes the review and evaluation of policy and responding appropriately to appeal requests from students.
  • In coordination with Student Accounts, ensure all financial aid programs are reconciled.
  • Maintain the integrated computer system used at the College. Oversee the annual financial aid set up. Manage other computer systems/software mandated by federal and state agencies.
  • Maintains required training, licensure and/or certifications
  • Maintains confidentiality of privileged information and adheres to applicable privacy laws
  • Demonstrates sensitivity, understanding and respect of diverse populations within the workplace.
  • Maintains an understanding of the work of colleagues to effectively provide backup and/or support for co-workers during times when the division is short-staffed or experiencing an increased volume of work.
  • Adheres to department guidelines for attendance and punctuality.
  • Available to respond to internal and external customers, either in person or over the phone, during scheduled business hours;
  • Demonstrates independent judgment and discretion in making position related decisions
