What are the responsibilities and job description for the Human Resources/Accounting Assistant position at Empower Tehama?
Primary duties will be to provide administrative and clerical support for the day-to-day operations of human resources, accounting, grant management, and business departments. Duties include maintaining employee records, assisting with benefits administration, responding to payroll-related inquiries, ensuring compliance with applicable labor laws and policies, grants management, budget creation and adherence, financial reporting, accounts payable, accounts receivable, and billing. This position may also be responsible for processing expenses, payments, reimbursements and deposits in accordance with Generally Accepted Accounting Practices (GAAP).
Duties:
- Provide general administrative support to the human resources and accounting departments
- Maintains the integrity and confidentiality of human resource files and records.
Process payrolls for all employees.
Collect and verify timesheets, attendance, and other payroll-related data.- Collaborate with HR and Finance teams to resolve payroll discrepancies.
Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately.
Accounts payable
- Accounts receivable
- Assist with grants management processes and grant/contract compliance
- General expense tracking and reconciliations
- Create documents, assist with grant writing and other projects
- Assist in preparing annual budgets and maintain tracking spreadsheets
- Prepare monthly invoicing for assigned grants, track receipt of payments and maintain tracking spreadsheets
Prepare grant reports and invoices
- Reconcile accounts and other program activities as instructed
- Maintain filings and records to assists with the annual audit
- Maintain contract binders, files, correspondence and supporting documentation
- Foster effective relationships with vendors/contractors/grantors
- Receiving and routing incoming calls and appointments
- Receive and process cash payments donations in the accounting system for proper tracking and reporting
- Other tasks as assigned
Qualifications:
Experience / Education:
- High School Diploma or equivalent
- Must be 18 years of age or older
- Must hold a valid driver’s license and current auto insurance
- Two years of experience and/or education, General understanding of GAAP principles
- Two years of experience and/or education in a clerical office or administrative setting
- Two years of experience and/or education in Human Resources, payroll, Bookkeeping, accounting, and grant management experience preferred
Technical and Soft Skills
- Working use of Outlook, Word, Excel, QuickBooks, and 10-key adding machine
- Ability to relate to others in a non-judgmental and supportive way
- Ability to utilize active listening skills and communicate clearly
- Computer skills, specifically WORD, Excel and Outlook
- Professional writing, grammar, spelling and punctuation skills
- Ability to multi-task, time management skills, and organizational skills
