Reports to: Community Manager 

Position Summary: The Assistant Community Manager is responsible for assisting the Community Manager with ensuring the community generates a satisfactory cash flow, the property is maintained in accordance with Company standards and assures customer/tenant satisfaction. The Assistant Community Manager will fill in handling tasks in the property in the absence of the Community Manager

Job Duties and Responsibilities 

  • Promptly answer telephone and email inquiries with the goal of obtaining an appointment to show the community to prospective residents.
  • Greet prospective residents, demonstrate the features and benefits of the community, vacant homes, and amenities, explain terms of occupancy, and provide information about the local area.
  • Assist with the sale of homes to prospective residents and follow appropriate protocol to obtain a holding deposit and application for occupancy or waiting list.
  • Promptly follow up with prospective residents who have not yet leased to continue the lease and or sale process.
  • Determine and certify the eligibility of prospective residents following governmental regulations and company procedures.
  • Assist the Community Manager with all marketing and sales activities including advertising promotions.
  • Pursue and collect rent payments and accurately record remittance.
  • Investigate complaints, disturbances and violations and resolve problems following management rules and regulations.
  • Prepare, submit, and maintain accurate record reports, and documents.
  • Ensure confidentiality of all data in the resident files (i.e. income, credit reports, assets, etc.)
  • Provide information and reports in coordination with other departments as needed.
  • Conduct all activities in accordance with HUD regulations and Fair Housing requirements.
  • Process move in and move out documents.
  • Other duties and projects as assigned

Knowledge, Skills, and Abilities: (Knowledge, skills and abilities are the qualifications and individual needs to perform the essential functions of the job.)

  • Excellent communication skills, both written and verbal
  • Attention to detail
  • Self-motivated and autonomous
  • Knowledge of Property Management and/or MH Industry experience preferred
  • Rent Manager software knowledge preferred
  • Knowledge of Microsoft Office applications
  • Adaptability to ever-changing needs
  • Must possess a positive attitude
  • Ability to be friendly and professional under all circumstances
  • Must be available to work evenings and weekends as required
  • Willingness and ability to present self in a neat, clean and professional manner always throughout theworkday and/or whenever present at the community
  • Participate in training to comply with new or existing laws
  • Comply with policies and expectations as demonstrated in the Employee Handbook
  • Knowledge of OSHA and fair housing laws and regulations.
  • Must possess and maintain valid Driver’s License.
  • Ability to travel on occasion to visit communities for training opportunities and meetings, but extensivetravel is neither required nor anticipated.

Education: (The minimum education qualifications an individual needs to perform the essential functions of the job)

High School diploma required; associate or bachelor’s degree preferred.

Experience: (The minimum experience level and qualifications an individual needs to perform the essential functions of the job)

1 years in a customer service-related field. Property Management experience preferred.

Prolonged periods of sitting at a desk and working on a computer. Walking around the community is expected at least 1x per day with flexibility.

Work Environment: (The work environment characteristics are representative of those an employee encounters while performing the essential functions of this job) This is an indoor position, predominately working in the office environment.
