Key Details:

  • Location: Onboarding is 100% onsite in Portland; flexibility for a hybrid work arrangement may be available once fully onboarded. Relocation assistance is provided.
  • Pay: $75,000 - $83,200 per year depending on experience
  • Benefits: Medical, Dental, Vision, Disability, HAS option, 401K with 4% match, profit sharing, PTO, paid holidays, parental leave, wellness reimbursement, and first time-homebuyer’s assistance.
  • Schedule: Full-Time; 40 hours per week; Monday-Friday; 8:00AM – 5:00PM.

Position Overview: As an Energy Project Coordinator, you will serve as the quality control point between industrial customers, engineers, account managers, and our client. The Energy Project Coordinator reviews customer project applications and project deliverables to ensure forms and Excel-based tools are filled out completely and correctly, reports are grammatically sound error-free, and formatting meets client’s expectations. The Energy Project Coordinator is responsible for troubleshooting any missing or inaccurate data on project forms and materials; this requires proactive phone and email communications with industrial customers, vendors, account managers, and engineers. The Energy Project Coordinator submits all project deliverables to our client through various channels and software programs, and inputs project data into project tracking and CRM systems at various project milestones. Additionally, the Energy Project Coordinator is responsible for monitoring phone lines, message lines, and email accounts and distributing customer inquiries. The Energy Project Coordinator position requires someone who is detail-oriented, organized, and skilled at prioritizing varied tasks.


A typical day may include:

  • Reviewing technical reports to ensure they are complete, accurate, grammatically sound, and correctly formatted; proactively communicating clarifications to move the project forward.
  • Communicating with our client, customers, account managers, and engineering team via phone, email, Microsoft Teams, and in-person.
  • Communicating with customers and vendors regarding project specifications or missing information.
  • Inputting data into our internal project tracking system as well as our client’s project tracking and CRM systems at each project stage, including: adding new project information, linking sites/accounts/contacts, creating and updating forecasts, generating project tracking codes, uploading documents, and queuing payments.
  • Regularly navigating Excel-based tools to track project and application details.
  • Managing project dates and reaching out to customers, contractors, and account managers to communicate approaching deadlines and project status.
  • QCing data to ensure project information is accurate and up to date.
  • Other duties as assigned.


Qualifications: We are looking for a detail-oriented and organized candidate with a wide range of skills including excellent communication, emotional intelligence, excellent computer skills, and an interest in the energy efficiency industry.


Ideal candidates will additionally have the following skills and experience:

  • Previous experience, proficiency, and interest in data entry and data processing across multiple software platforms.
  • Experience copy-editing technical reports; excellent grammar and written communication skills.
  • Excellent customer service skills - ability to actively listen, communicate clearly and concisely, and maintain respect and courtesy.
  • Proficient in MS Excel; ability to QC basic functions in spreadsheets.
  • Proficient in MS Word; ability to QC basic formatting in documents.
  • Proficiency in CRM software such as Salesforce.
  • Basic understanding of energy efficient equipment upgrades and understand common equipment specifications, or the interest and ability to learn industrial equipment.
  • Proficiency in mathematics - ability to interpret percentages, fractions, decimals, and units of measurement.
  • Basic understanding of engineering units of measure including: tons, kW, kWh, therms, btu, square feet, cubic feet, gpm, bhp, and hp.
  • Adept at performing detail-oriented tasks, demonstrating accuracy and thoroughness.
  • High School Degree required; Additional degree is preferred.
