JOB SUMMARY
The Inspection Account Coordinator provides direct support to the Houston based Inspection and Construction Management team. This role is responsible for the day-to-day operational functions of the Inspection department by supporting the VP, field personnel and assisting client project requirements. This position in an on-site support role based out of the Houston office. *This position does not offer per diem or any relocation expenses.
DUTIES AND RESPONSIBILTIES OF THE JOB
• Provide administrative support to VP of Inspection and the department
• Assist with VP with project resourcing, including communicating with client regarding project needs, maintaining resume database, identifying potential candidates, collecting personnel information
• Maintain posted job openings and request new job postings as needed
• Develops and maintains strong working relationships with internal teams as well as external current & potential future field personnel
• Process new hires and all staffing changes in HRIS system
• Communicate staffing changes accordingly with HR, Safety, IT & Project Teams and maintains all staffing plans and rosters
• Facilitates project set up: reviews, rates, communicates with Accounting & Project teams on project needs
• Ensures clients POs are received, reviewed, and executed accordingly
• Maintains equipment, tool calibration, and equipment list for Inspection Department
• Provides training to field personnel on timekeeping and expense reporting
• Reviews & Approves field time and expenses for assigned accounts, including requesting and obtaining client approvals
• Reviews & Approves project invoices for assigned accounts
• Prepares and distributes project and/or Inspection required reports, documents, or correspondence timely
• Responds to inquires timely and escalates inquiries when needed to appropriate team members
• Performs other job-related duties as assigned
• Available to be on-call during evenings/weekends, as needed

EXPERIENCE REQUIREMENTS
• 1-3 years’ experience in a similar role or a Bachelor’s degree
• Intermediate experience in MS Office Suite (particularly MS Word and MS Excel)
• Previous experience using SAP Programs (SAP Supplier Portal, SAP-Fieldglass)
• Heavy data entry experience
• Experience in the pipeline service/construction industry is a plus
• Experience in Human Resources is preferred
