EDUCATION:  Four-year college degree, with a preferred major in related field, i.e. Hotel Management, Business or Marketing or 3 years prior experience in Conference & Catering. Ability to speak, read, write and comprehend the English language at a level sufficient to communicate effectively with staff.   

TRAINING & EXPERIENCE:  Prior experience in conference and catering coordination and event planning. Must have catering / F&B sales experience. Will need to have a wedding coordinating background and passion for the wedding industry. Should have a strong sales background with proven track record of developing sales. Valid Driver’s License required. 

JOB KNOWLEDGE:  Must have a working knowledge of service agreements and banquet event orders and a general knowledge of club/hotel/resort operations and procedures.  

JOB SUMMARY:  Responsible for developing, managing and coordinating the many and varied details relating to the successful servicing and execution of group meetings, functions, private events and weddings.

PHYSICAL ABILITIES:  Must be able to work on feet, moving about for several hours at a time.  Be able to work under busy conditions.

DUTIES AND FUNCTIONS

  1. Must be able to work a flexible schedule, to include weekends, holidays if needed.
  2. Arrive to work on time, consistently. For an event you must arrive 30 minutes prior to the arrival of the events guests and remain throughout the event.
  3. Upon entering the property, arrive in proper uniform, crisp, clean and in good repair.
  4. Hair must be clean and cut in a becoming style; management has final approval.
  5. Attend all required training, safety courses; attend office and departmental meetings.
  6. Report any safety hazards, follow up that hazard has been corrected, and assist with providing a safe work environment.
  7. Develop a complete day by day agenda based on the client’s requirements.  Information to include transportation, meeting room needs, audio visual, coffee breaks, menus, recreation, accounting/ billing, registration, housekeeping, special functions/requests.
  8. Knowledgeable about all products and services available, including the ability to assist members/guests in appropriate selections of wines and menu items.
  9. Increase sales through upselling techniques, creativity, menu knowledge and thorough marketing plan to include but not limited to outbound, telephone and social media sales efforts.
  10. Compile sales forecast and PACE report to track banquet revenues, update and distribute weekly.
  11. Participate in promotional activities to include planning and outbound sales efforts. i.e. wedding and trade shows, and visiting corporations in your sales efforts.
  12. Coordinate the planning of all aspects of events, place orders for rental items and coordinate delivery and pickup times accordingly.    
  13. Develop and maintain an open line of communication with members, guests, vendors and employees.
  14. Respond to inquiry calls regarding local catering functions in a timely and professional manner, taking detailed information and acting upon the request.
  15. Insure that all deposits and guarantees for upcoming events are received, copied and distributed to the proper departments within the time outlines in our booking policies.
  16. Oversee the operations of all events which you have coordinated and act as a liaison for the member/guest and any outside professionals during the event.
  17. Communicate closely with the Banquet Manager and/or Captain regarding all aspects of the event execution.
  18. Minimize labor through creative planning and proactive management skills.
  19. Stay current with new advances and ideas within the industry and bring to the property for review.
  20. Follow all company safety procedures.
  21. Perform and follow through on any other duties as assigned by the Catering Director.
