Administrative Assistant/Receptionist
Location: Washington, DC
HOW YOU WILL IMPACT THE BIG PICTURE:
As the first point of contact, the Administrative Assistant/Receptionist is responsible for providing a professional and welcoming experience for all guests and visitors to the office. Responsibilities include greeting and announcing visitors, maintaining various databases and tracking systems, and general administrative duties. Supports the Human Resources Manager, Operations Team, and DC office staff with administrative items to ensure an efficient, smooth-running office.
WHAT YOU WILL DO:
- Greet all visitors to the office, including vendors, clients, and talent/show guests; maintain professional presentation in Reception areas; provide coverage for the front desk at all times; accept incoming phone calls and distributes mail.
- Maintain various databases and tracking systems (i.e., Building Security database, DataWatch activation website, Visitor and Parking Validation logs, etc.); serve as primary point of contact for all EWTN staff to assign visiting office and/or meeting space in the DC office as needed.
- Support Human Resources Manager on various administrative tasks, such as preparing New Hire Orientations Schedules and materials, updating office directories, preparing candidate interview packets, etc.
- Work with EWTN Chaplain to confirm weekly Mass schedule for DC office.
- Maintain proper inventory of office supplies; conducts routine inventory and orders supplies as necessary.
- Responsible for conference room reservations and coordinates with Department Managers to plan and execute various department and office-wide events throughout the year.
ABOUT YOU:
- You have a minimum of 3-5 years of office and administrative experience.
- You have earned an Associate’s degree in Business Administration or related field, or have an equivalent combination of experience and education.
- You have proven intermediate to advanced level skills working with the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), to include creating and formatting of documents and spreadsheets, creating interactive forms and reports; possess a working knowledge of PDF and Canva or similar software platforms.
- You are a practicing Catholic with demonstrated knowledge of the faith and EWTN’s mission and guiding principles.
- You project a friendly, welcoming, and professional demeanor and you consistently provide excellent customer service-focused support to internal and external clients.
- You possess Strong interpersonal skills to successfully interact with all levels of staff/management and external clients to include vendors, and high-profile guests.
- You have excellent verbal and written communication skills as well as efficient organizational and time management skills.
- You demonstrate a meticulous level of attention to detail, are able to multitask at a high level and maintain confidentiality.
- You are consistently prompt with reliable attendance and the ability to function successfully as a member of the office’s “Essential Team” working 8:30 am – 5:30 pm (M-F) with the flexibility to work overtime when needed.
