About the job

The Office Administrator plays a central role in ensuring smooth day-to-day operations in the office. This position requires strong organizational and interpersonal skills, along with the ability to juggle administrative, IT liaison, facilities, and HR support duties. This is a non-exempt position.

Specific job duties

  • Serves as point of contact for visitors, handles inquiries, and communicates with vendors.
  • Answers phones, directs calls to appropriate individuals, prepares and delivers messages, and handles mail.
  • Maintains inventory of office supplies; orders new supplies as needed.
  • Serves as liaison with building management and ensures company compliance with building requirements.
  • Supports employee out of office procedures.

· Coordinates maintenance of office facilities and is involved in maintaining the cleanliness and organization of the office.

· Supports basic IT needs and manages IT inventory.

· Serves as liaison with outsourced IT service provider.

  • Schedules meetings and appointments and manages logistics and coordination of company events.
  • Processes client, company and personnel data.
  • Assists Human Resources with onboarding new hires.
  • May be involved in office layout planning and moves.

  • Strong ability to follow instuctions/protocols, prioritize tasks, manage time effectively, and maintain organized systems.
  • Ability to build and maintain positive relationships with staff and vendors.
  • Proficient with Microsoft Office Suite or related software.
  • Ability to identify and resolve issues that may arise in daily operations of the office.
  • Ability to handle a variety of tasks and adjust to changing priorities.

Minimum Qualifications

  • High school diploma or equivalent required; associate’s degree in office administration or related field preferred.
  • At least three years in administrative/clerical roles required.
