All positions require to be on site, Monday through Friday. We are open for business from: 8 am to 5 pm.
This position is Full-time.
Currently we are seeking a Medical Receptionist, Front Desk for HQ in Santa Rosa, CA. We are off Airport Blvd.
Pay range is $20 to $24 an hour.
SUMMARY
Serves as initial contact for patients and visitors, greeting them in a courteous and professional manner. As the initial contact for all patients once on site, this position must be open friendly, communicative, and accommodating. In addition, you will be responsible for office duties as explained below and collaborate with Supervisor for SOP’s, to include facilities and equipment management. Must complete required compliance training and policy acknowledgements within time limits granted.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Greet visitors and patients in a friendly and professional manner, providing assistance and direction as needed.
- Receive and process patients, following intake protocols using electronic health/practice management software.
~ Confirm DOB.
~ Address, phone number current.
~ Insurance is current and identity is confirmed with State ID card or drivers license.
~ Confirm Appointment time.
~ Confirm Provider and that provider is running on time.
- Ensure that patient will be taken at time of scheduled appointment.
*** If provider running behind schedule communicate this to the patient with a time frame which they will be taken.
- Collect all payment or copays.
- Confirm completed PROMIS 29, ORT and PPMM.
- Confirm Telemedicine consent form.
- Hear of patient complaints and escalate to Clinical Supervisor or HRD, also document issue via email and submit to HR.
- Receive and route messages or documents, such as laboratory results, to appropriate staff.
- Assist patients in completing forms and if necessary using our translating services.
- Adherence to EVOLVE’s ethical and professional standards, including policies and procedures.
- Schedule next appointment upon patient exit.
- Inform patients about services and programs, handout package of services.
- Uphold confidentiality and privacy standards in handling patient information.
- Maintain the reception area in a neat and organized manner, ensuring a welcoming and comfortable environment for patients and visitors.
- Ensure visitors complete sign in protocols and issue visitor badge.
- Assist with administrative tasks, including filing, data entry, and sorting mail and distributes mail to appropriate personnel. Ensure packages are delivered to appropriate personnel.
- Responsible for all outgoing mail.
- Audits and maintains office equipment in stock room, faxes, copiers, repairs, etc.
- Facilities: calls property manager and/or appropriate vendors for repairs or other facility issues which may arise.
- Ensures general office supplies are stocked at appropriate levels at all times.
- Responsible for petty cash and reconciliation.
- Monitors and orders general supplies, ensuring the supply room, kitchen and other areas are appropriately stocked at all times for all locations.
- Maintains a clean and organized kitchen and break room.
- Support the Director of HR and Administration in the management of all office locations in the areas of facilities management. This is not a human resources role, but a general office administrative role.
- Greets interviewees and alerts Human Resources and creates a visitors badge.
- Helps clinic with various tasks.
- Supports MAs when needed since this is a very busy practice.
- Assists with special projects as needed.

- Has worked in a facilities support/administrative role.
- 1 year EPIC experience.
- 2 plus years as a hands on medical receptionist or 3 years in a medical practice plus 2 years as a receptionist or other support position.
- Be comfortable and efficient in fast pace environment.
- Self-motivated and able to work independently with minimal supervision and as part of a team.
- Strong organizational skills, listening and mindfulness, with the ability to multitask and prioritize tasks effectively.
- Proficiency in Microsoft Office Suite, TEAMS, and other computer applications.
- Demonstrated good judgment in identifying effective solutions or approaches to patient service-related problems.
- Ability to maintain strict confidentiality regarding patient information.
- Ability to perform detailed administrative work methodically with speed and accuracy.
- Demonstrate flexibility and ability to accept changes gracefully.
- Knowledge with medical terminology.
- Facilities experience in handling vendor relations.
- Medical startup experience highly desired or ability to work in ambiguity and pivot throughout the day.
REQUIRED:
- 1 years EPIC experience
- 2 plus years as a hands on medical receptionist or 3 years in a medical practice plus 2 years as a receptionist or other support position.
- High School Diploma or GED.
- Computer proficiency in Microsoft Office Suite, MS365, One Drive, TEAMS, Epic, etc.
- HIPPA compliance training (will be introduced during onboarding)
- Must have reliable transportation.
POSSIBLE REQUIREMENTS:
- Clean driving record, DMV check if driving to other sites or on behalf of the company. Company policy reimbursement is by IRS current standards per mile.
- Background check
- 1 year experience in a support position to a facilities manager.
- 1 year vendor relations experience.
DESIRED SKILLS
- Bilingual in Spanish and English.
- Knowledge of medical terminology.
