Job Opening: Administrative Assistant / Family Liaison
Position Type: Full-Time
Work Schedule: 10:00 AM – 6:00 PM
Reports To: 21CCLC Program Manager
Compensation: $35,000 – $40,000 annually (Based on experience and qualifications)
Start Date: February 15, 2025
Funding Notice: This position is grant-funded through the 21st Century Community Learning Centers (21st CCLC) program and is contingent upon continued funding.
Position Overview Excell Academy is seeking a highly organized and family-centered Administrative Assistant / Family Liaison to support our 21st Century Community Learning Centers (21CCLC) out-of-school-time programs.
This position plays a key role in program registration, attendance tracking, front-desk operations, family engagement, and community partnership coordination. The ideal candidate is detail-oriented, welcoming, culturally responsive, and committed to supporting students and families particularly those experiencing homelessness or high mobility by ensuring equitable access to 21CCLC programs and resources.
Key Responsibilities
- Manage registration and enrollment for all 21CCLC programs
Track and maintain daily student attendance in compliance with grant requirements Serve as front desk staff and primary point of contact for all 21CCLC programs
- Greet families, students, and visitors in a professional and welcoming manner
- Respond to phone calls, emails, and walk-in inquiries related to programming and services
- Support families especially homeless and highly mobile families with registration and access to resources
- Maintain accurate student, family, and program records
- Assist with data collection and reporting for 21CCLC and MDE compliance
- Manage and maintain an up-to-date list of community partners
- Support coordination with enrichment providers and community organizations
- Assist with updating the school/program website with current 21CCLC information
- Support family engagement events, field trips, and special program activities
- Ensure confidentiality and compliance with FERPA and grant guidelines
Required Qualifications
- Minimum of two (2) years of administrative or school-based experience
- Experience working with families and diverse communities
- Strong organizational, communication, and customer service skills
- Proficiency in Microsoft Office and Google Workspace
Preferred Qualifications
- Associate degree required (Education, Educational Leadership, Social Work, Public Administration, or related field)
- Experience with 21CCLC or other grant-funded programs
