Office Manager - Lower Campus
General Description
Job Summary:
The Office Manager ensures smooth daily operations within the school, overseeing tasks such as attendance, visitor check-ins, mail distribution, and communication. This role includes administering minor first aid, assisting with money collection, and providing event support. The Office Manager is the first point of contact for phone calls and emails, ensuring timely communication of announcements and school events. Strong organizational, communication, and multitasking skills are essential for success in this position.

Job Requirements
Education:
- High School Diploma or Equivalent (Required)
- Associate’s or Bachelor’s Degree in Business Administration, Office Management, or related field (Preferred)
Experience:
- 1-2 years of administrative experience in an office or school setting, preferably in an educational environment.
- Experience with office software (e.g., Google Workspace) and calendar management tools.
- Familiarity with student information systems or similar platforms (preferred).
- Experience handling student records and maintaining confidentiality.
- Customer service experience, with the ability to interact professionally with students, parents, and staff.
- Child CPR and First Aid certification required.
- Experience in event coordination and supporting school activities (preferred)
Skills:
- Strong positive communication (written and verbal) and interpersonal skills.
- Excellent organization and time management abilities.
- Proficiency in office software and calendar management tools.
- Ability to handle student records and maintain confidentiality.
- Strong problem-solving and multitasking capabilities.
- Attention to detail in financial management and event support.
Physical Requirements:
- Staff members are regularly required to stand and walk; talk clearly; hear; operate a computer, hand-held learning devices, and other office equipment; reach with hands and arms; bend; stoop; twist; climb stairs, and lift or move up to 25 pounds.

Essential Job Responsibilities
Administrative Support
- Front Office Responsibilities
- Front Door Supervision
- Checking in visitors
- First point of contact with visitors and parents
- First point of contact with phone calls
- Checking and distributing mail
- Data Input as needed
- Attend weekly staff meetings & monthly administrative meetings
- Provide support for student enrollment and campus tours as needed
- Oversee front office cleanliness and organization to maintain an excellent Lower Campus first impression with families
- Retrieve and distribute mail
- Assist with Student Files Management as needed
- Manage Forms
- Coordinate with Administration and support the management of Background Checks for new hires
Communication
- Assist the Communication Director and Campus Principal with the campus calendar
- Assist with the creation and sending out of emails and flyers regarding events
- Assist with ensuring timely communication of important dates, deadlines, and announcements to staff, students, and parents
- Follow up with reminders for events and meetings
- Assist and/or coordinate and maintain communication through Bright Arrow, FACTS, and/or other systems for communications
- Coordinate campus communication for emergency situations.
- Maintain and update contact lists for parents, staff, and emergency contacts.
Staff Support
- Providing break coverage for teachers/staff as needed
- Assist with finding substitutes
- Coordinate and assist staff with planning for events based on calendars
Student & Health Support
- Attendance input and oversight
- Administering minor first aid
- Group supervision during busy assemblies/events/lunch as needed
- Medication administration and tracking via a spreadsheet
- Contact parents with student illness issues
- Provide Support for Drop-off and Pick-up Lines
- Insure accurate documentation as needed
- Management and distribution of student medication
Financial & Records Management:
- Accepting money and writing receipts
- Assisting with money collection and following accounting procedures
Event Support
- Assist and/or coordinate with planning, preparation, and implementation of campus events as assigned
- Event support as needed
Security
- Uses the camera system to keep watch over the campus grounds and visitors entering the school.
Curriculum
- Coordinate with the Professional Development Director and support the ordering and distribution of the Lower Campus curriculum.
Other Responsibilities:
- Perform other incidental tasks consistent with the goals and objectives of the position
- Perform other duties as assigned by the administration and/or supervisor
Other
- Assume all other duties and responsibilities as assigned by the Head of School by the Head of School.
