The Office Manager is responsible for assisting the Regional Office Manager and Regional Director in managing all aspects of the Family Insight, P.C. site at Roanoke, VA. Primary duties include the exercise of discretion and independent judgement with respect to matters of significance.
Office Manager Job Responsibilities:
- Supports company operations by maintaining office systems and supervising staff.
- Maintains office services by organizing office operations and procedures, preparing payroll, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
- Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of records.
- Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
- Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
- Completes operational requirements by scheduling and assigning employees; following up on work results.
- Keeps management informed by reviewing and analyzing special reports; summarizing information; identifying trends.
- Maintains office staff by recruiting, selecting, orienting, and training employees.
- Maintains office staff job results by coaching, counseling, and disciplining employees, and planning, monitoring, and appraising job results.
- Achieves financial objectives by preparing an annual budget, scheduling expenditures, analyzing variances, and initiating corrective actions.
- Contributes to team effort by accomplishing related results as needed.
Minimum Qualifications:
- This position requires a minimum of a High School diploma but an Associate’s Degree in business or management is preferred. This degree requirement may be waived if there is sufficient empirical experience.
- Manager must be competent in all aspects of managing a large department and its’ varying daily demands. Manager must pass a satisfactory criminal history and background check.
- Manager must possess strong writing, verbal, organizational, and communication skills. Must have previous office management experience, preferred to have experience dealing with persons with serious mental, emotional and/or behavioral disorders, and have experience working with diverse populations.
- Manager must have a valid drivers’ license, a motor vehicle in good working condition and automobile liability insurance that meets minimum Family Insight, P.C. insurance requirements.
