Fickewirth Benefits Advisors is a dynamic large group health insurance broker with clients throughout Southern California. Our team is a dedicated group of professionals with excellence in strategy and client customer service.

We are seeking a highly organized and detail-oriented Operations Assistant to support the Operations Manager in the daily operations and human resources functions of our organization. The ideal candidate will assist with administrative tasks, ensure smooth office operations, and support HR processes, contributing to an efficient and employee-friendly workplace.

Responsibilities:

  • Coordinate with vendors, suppliers, and service providers for operational needs.
  • Ensure smooth day-to-day operations, including maintaining office equipment and coordinating facility maintenance and office deliveries.
  • Assist with coordinating client meetings, such as catering, technology setup and other requirements to ensure a professional environment.
  • Provide on-site support during client meetings, addressing any immediate needs or adjustments to enhance the client experience.
  • Help with document management, filing, and ensuring proper record-keeping practices.
  • Assist in preparing reports, data entry tasks and scanning projects.
  • Manage office supplies inventory and place orders as needed.
  • Perform errands such as, mail pick-ups/drop-offs, purchasing office necessities and meals, ensuring timely and efficient task completion.
  • Perform additional tasks and responsibilities as assigned to support the company and meet organizational objectives.
  • Assist in maintaining employee records, coordinate new hire onboarding, including preparing documentation, organizing orientation sessions.
  • Support employee engagement initiatives and coordinate company events and training sessions.
  • Assist with employee benefit policies, including enrollment and benefits-related inquiries.
  • Assist in the recruitment process, including screening resumes, and scheduling interviews.
  • Perform additional tasks and responsibilities as assigned to support the company and meet organizational objectives.

Qualifications:

  • Education: High school diploma or equivalent; an associate or bachelor’s degree in a related field is a plus.
  • Experience: 2-3 years of recent experience in administrative, HR, or operational support roles.
  • Exceptional organizational and multitasking abilities with a focus on accuracy, detail and problem solving.
  • Excellent communication, interpersonal skills and problem-solving skills.
  • Ability to type accurately and efficiently.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) required and experience in ADP software and AdobePro preferred.
  • Ability to handle confidential information with discretion.
  • Flexibility is required to accommodate changing priorities, support time-sensitive tasks, and address business or client needs as they arise.
  • Valid driver’s license and insurance required.

In addition to prolonged sitting at a desk, working on a computer and walking, this position requires the physical capability to easily move necessary supplies, some weighing less than or occasionally, with assistance, up to 50 pounds, including pushing, pulling, and bending.

This is a full-time position. We offer excellent benefits including medical, dental, vision, life, FSA/DCAP, LTD and 401k/401k match.

Job Type: Full-time

Pay: $24.00 - $29.00 per hour
