Job Summary:
The General Assistant provides versatile support to the organization by handling a variety of tasks across different departments. This role requires flexibility, organization, and the ability to assist in both administrative and practical duties to ensure smooth operations.
Essential Duties and Responsibilities:
Administrative Support:
- Assist with clerical tasks such as filing, data entry, and managing correspondence.
- Support scheduling and coordination of meetings, appointments, and events.
- Prepare and distribute reports, memos, and other documents as required.
Operational Support:
- Help maintain office supplies and ensure necessary equipment is available and in working condition.
- Assist in setting up and breaking down meeting rooms, including arranging furniture and equipment.
- Run errands and handle deliveries as needed to support office operations.
Customer Service:
- Greet and assist visitors, clients, and staff, ensuring a welcoming and professional environment.
- Answer phone calls, take messages, and direct inquiries to the appropriate personnel.
Facility Maintenance:
- Support general maintenance tasks, such as light cleaning, organizing common areas, and reporting any facility issues to management.
- Assist in maintaining a safe and organized workspace.
Event Coordination:
- Help in the planning and execution of company events, workshops, or training sessions.
- Coordinate logistics such as catering, venue setup, and attendee registration.
Project Assistance:
- Provide support on special projects, including research, compiling data, and preparing materials.
- Collaborate with different teams to ensure project deadlines and goals are met.
Miscellaneous Tasks:
- Perform other duties as assigned by management to support various functions within the organization.
Qualifications:
Education and Experience:
- High school diploma or equivalent required.
- Previous experience in a similar role is a plus but not required, bonus if in healthcare.
Skills and Competencies:
- Strong organizational and multitasking abilities.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
