Position Overview: The Executive Assistant (EA) provides high-level administrative support to the leadership team at FireSprint, playing a critical role in enabling data-driven decision making by collecting, organizing, analyzing, and translating company data into clear insights for leadership. This role bridges day-to-day execution with strategic thinking, ensuring leaders have the information, context, and analysis needed to make informed operational and financial decisions.

Key Responsibilities:

  • Data Analysis & Decision Support:
  • Present a quarterly scorecard review to the Executive team with data driven recommendations for adding, removing and updating key metrics to keep the scorecard relevant and meaningful.
  • Collect, clean, and maintain datasets related to sales, reseller activity, costs, operations, and other key business metrics.
  • Create spreadsheets, dashboards, and presentations that clearly visualize trends, variances, risks, and opportunities.
  • Conduct issue-driven analysis to support leadership decisions (e.g., margin pressure, capacity planning, reseller performance, cost controls).
  • Track and analyze data relationships over time, identifying patterns, anomalies, and actionable insights.
  • Support leadership by proactively surfacing insights—not just reporting numbers—so decisions are grounded in evidence rather than intuition alone.
  • Partner with leadership to define key metrics and ensure data accuracy, consistency, and usability across reports.
  • Project Coordination:
  • Assist with planning and tracking project milestones and deadlines using data to measure progress and impact.
  • Coordinate cross-departmental communication to ensure projects stay on schedule and aligned with performance targets.
  • Provide regular status updates and reports to the leadership team, including quantitative progress indicators.
  • Miscellaneous Duties:
  • Draft and edit emails, correspondence, and presentations on behalf of the leadership team, incorporating data and analysis where appropriate.
  • Compile expense reports, manage budgets for travel/events, and track office-related expenditures with an eye toward trends and cost optimization.
  • Perform other administrative and analytical tasks as assigned to support the leadership team.
  • Administrative & Executive Support:
  • Manage executive calendars and coordinate internal and external meetings, ensuring priorities align with business goals.
  • Organize and prepare materials for conferences, presentations, and leadership meetings, including data-backed summaries and dashboards where applicable.
  • Oversee travel arrangements, including booking flights, accommodations, and creating detailed itineraries.

Key Skills and Qualifications:

  • Technical Skills:
  • Proficiency in office management software (e.g., Google Workspace, Microsoft Office).
  • Strong working knowledge of Microsoft Excel and Google Sheets, including formulas, pivot tables, and data organization.
  • Familiarity with Power BI, Odoo Analytics, or similar reporting/ERP tools is a plus.
  • Ability to translate raw data into clear charts, graphs, and executive-level summaries.
  • Strong organizational, documentation, and data hygiene practices.
  • Understanding of EOS principles and meeting structures (preferred).
  • Soft Skills:
  • Excellent verbal and written communication skills, especially the ability to explain data insights clearly to non-technical audiences.
  • High level of professionalism and discretion when handling confidential information.
  • Strong critical-thinking skills and curiosity; asks “why” behind the numbers.
  • Ability to prioritize, multitask, and adapt in a fast-paced, evolving environment.
  • Preferred Experience:
  • Bachelor’s degree in Business Administration, Data Science, Statistics, Computer Science, Mathematics, Information Systems, Engineering, or a related field (preferred).
  • 2 years of experience supporting C-level executives or senior management.
  • Experience with business analysis, reporting, compliance, or operational analytics is a plus.

  • Accuracy and timeliness in scheduling, meeting coordination, and administrative support.
  • Quality, clarity, and reliability of data reports, charts, and dashboards.
  • Ability to deliver concise, actionable, issue-driven analysis that informs leadership decisions.
  • Proactive identification of trends, risks, or opportunities through data.
  • Engagement and participation in culture-building initiatives.
