What are the responsibilities and job description for the Assistant Project Manager position at FLYNN Construction?
We are seeking a detail-oriented and proactive Assistant Project Manager to support the successful planning, execution, and completion of projects. The ideal candidate will work closely with the Project Manager to coordinate tasks, manage timelines and budgets, and ensure quality standards are met throughout the project lifecycle.
Essential Functions
- Assist in developing detailed project plans, scopes, and objectives in alignment with company goals.
- Coordinate cross-functional teams to ensure all project aspects are aligned and progressing.
- Monitor day-to-day project activities and promptly communicate any risks, delays, or changes to the Project Manager.
- Maintain and update project documentation, including weekly logs, issue logs, equipment delivery and status reports.
- Facilitate communication between internal departments, external partners, and clients.
- Organize and participate in project meetings, including taking minutes and tracking follow-up actions.
- Assist with resource allocation and ensure team members understand their responsibilities.
- Track and report on project performance using KPIs and other metrics.
- Help prepare presentations and reports for senior management.
- Support change management processes and documentation.
- Assist with contract administration, ensuring that contract terms and deliverables are met.
- Manage version control and filing of key project documents.
- Perform site visits or field inspections (if applicable) and report findings to Project Management team or Senior Leadership.
- Follow up with vendors and subcontractors to ensure timely delivery of goods and services.
- Coordinate with finance on invoicing and purchase orders.
- Support risk assessments and contribute to mitigation planning.
- Assist in closing out projects, including final documentation, lessons learned, and post-implementation reviews.
Qualifications
- High School diploma or equivalency is required.
- 1–3 years of experience in a project coordination or project assistant role
- Proficiency in project management software (e.g., Microsoft Project, Premier, Procore, or similar)
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Ability to multitask and work collaboratively in a fast-paced environment.
- PMP or CAPM certification preferred but not required.
