Summary
The Folktale Group is looking for a motivated and passionate Wine Club Coordinator who will work with the team to take the Wine Club to the next level. The primary responsibility for the Wine Club Coordinator is to provide exceptional customer service to our Wine Club Members and assist the sales of Memberships and Ecommerce. We are looking for someone who can elevate our members’ experience through unique events, newsletters, and incredible customer service! The Wine Club Coordinator will create a variety of programs to strategize new memberships and marketing opportunities. This role will also facilitate and promote clear communication between the Wine Garden Educators and Wine Club Members.
Essential Duties and Responsibilities
- Provide outstanding internal and external customer service.
- Work with the Managers and Supervisors to develop short term & long-term Wine Garden sales and retention goals and tracking weekly progress.
- Responding promptly to all telephone and email inquiries from Wine Club Members to ensure brand loyalty.
- Monitor and promptly respond to all Red Chirp inquiries.
- Update weekly signups and goals for wine club signups.
- Think creatively about ways to reach new consumers by making the club something exceptional and in turn building the wine club sustainably.
- When possible, greet Wine Club Members in the Wine Garden as well as table touch with all guests to ensure wine club questions regarding wine club are clarified.
- Assist Wine Club Manager in training and increasing wine/club knowledge and sales skills to keep Wine Garden staff informed.
- Assist the Wine Club Manager to plan & execute all Wine Club events.
- Work with the Marketing team for all marketing and printed collateral needs.
- Update credit cards and account information prior to shipment, handle customer special requests, follow up on shipping issues, declines, tracking & returned packages, and assist members with accessing their Member portal.
- Database management for Wine Club: new member entry, changes to account information, cancellations, and pickups.
- Retaining existing Folktale Winery club members through customer engagement, consistent follow-up and outstanding customer service, resulting in increased sales and longevity of membership.
- Generate monthly and annual club member reports to Executive Management including growth/retention reports.
- Process and coordinate all web orders and phone orders including fulfilling orders, preparing shipping labels, ensure shipping to out of town members and delivery to local members
- Facilitate the quarterly shipments, ensuring all wine is received correctly, and in a timely manner.
- First point of contact on all daily websites and email orders along with responding to members.
- Work in collaboration with the Accounting Dept. on club shipments, credit card processing, inventory coordination, and inventory needs.
- Attend all Folktale Winery events as a Wine Club representative.
- Assist Wine Educators with closing and finalizing wine club sign ups.
- Work with Wine Garden Managers to build, develop, and evolve TOCK in creating and delivering exceptional Wine Club guest experience.

Details: 30-40 hours/week. Monday through Friday 9:00-5:30 (adjusted for event times)
Non-exempt, $28-$32/hour. DOE

Requirements:Position Requirements
- Passion for wine and hospitality
- Excellent phone and email etiquette
- Experience with Commerce 7, MailChimp, Tock and Toast
- Sophisticated knowledge of wine and winery operations an advantage
- Self-starter, clear communicator, multi-tasker, highly organized
- Effective sales person
- Must be 21 years of age
- Ability to lift 55 pounds repetitively
- Must be available to work weekends, holidays, and events
- Must be a team player who can work efficiently in high volume, fast-paced situations
- Must be flexible and able to deal with frequent interruptions, possess the ability to adapt to the Company’s frequently changing needs and priorities
Physical Requirements
- The ability to work in a standing position for long periods of time (up to 8 hours), walk, sit, reach, bend, stoop, climb, frequently lift up to 35 pounds, and occasionally lift/move 50 pounds is required.
- This position also requires continual use of manual dexterity and gross motor skills with frequent use of bi-manual dexterity and fine motor skills, and the ability to clearly speak, hear, see, and adjust focus.
