General Summary:

The Administrative Assistant - Language Program will assist the Anishinaabemowin Coordinator in clerical tasks related to supporting all activities and events of the language program.

Position Responsibilities:

  • Creates and maintains records for the Ojibwe language resource library for use by language teachers and community users.
  • Assists with curriculum creation and lesson plans.
  • Attends meetings and takes minutes of all language program meetings.
  • Prepares publicity fliers, and outreach brochures for the initiatives of the Anishinaabemowin Coordinator, and the Fond du Lac Language Program.
  • Serves as research assistant to Anishinaabemowin Coordinator.
  • Assists in operation of all language program events.
  • Prepares routine purchase order requisitions, purchase orders, green sheets, and related paperwork for Language Program expenditures, under the direction, and subject to the approval of the Anishinaabemowin Coordinator.
  • Assists Ojibwe Language Teachers, Anishinaabemowin students, community members, and groups in researching library holdings in the reference library catalog base.
  • Assists in the establishment and maintenance of the Ojibwe Language Resource Library of language, culture, history, and literature, electronic media, listing of websites, etc. of the Anishinaabeg to serve as reference materials for use by various Anishinaabemowin study groups.
  • Completes data entry for survey results and creates a statistical report format summary.
  • Maintains statistics on resource library collection inventory, reference book use, technical services activity, database usage, community language inquiries, and community surveys. Provides periodic reports as requested.
  • Provides reference services to language resource library users as needed.
  • Assists with inquiries regarding Ojibwe language curriculum.
  • Participates in committee assignments and reservation-wide initiatives.
  • Attends professional development meetings, workshops, and continuing education opportunities as requested by the Anishinaabemowin Coordinator.
  • Appropriate work attire is required.
  • Attend all mandatory meetings.
  • Ensures confidentiality of financial records and all records for employees, band members and/or clients.
  • Appropriate work attire is required.
  • Must attend all mandatory department trainings.
  • Displays a responsive and professional manner in promptly responding to all requests, complaints, and problems.
  • Recognizes that each employee is a representative of the Fond du Lac Band of Lake Superior Chippewa and is responsible for demonstrating courtesy, respect, and sensitivity to the needs of all others, including visitors and co-workers.
  • Represents the Fond du Lac Band of Lake Superior Chippewa and the department in a positive and professional manner in the community.
  • Required to maintain proper attendance including reporting to work on time in accordance with applicable policies.
  • Maintains a clean and organized work area.
  • Due to changes and modifications in the job from time to time, employees are required to be flexible and assume other responsibilities assigned by management as deemed necessary.

Physical Requirements:

  • Normal physical requirements.
  • Subject to inside and outside environmental conditions, including work in adverse weather conditions.

Position Qualifications:

  • One year of administrative assistant experience is required.
  • Experience with oral and Fiero (double vowel) system in Ojibwe Language is preferred.
  • Relevant coursework in Anishinaabemowin is preferred.
  • Knowledge of computer applications to include word processing, Access, Excel and Microsoft Outlook is required.
  • Experience with basic research methods is preferred.
  • Ability to work in a community service environment with a culturally, economically, and linguistically diverse population.
  • Ability to maintain quality control and accuracy of departmental records is preferred.
  • Knowledge of new and emerging technologies related to digital creation of Ojibwe services and library systems.
  • Operations consist of shift work; seven days a week and on holidays.
  • Ability to communicate effectively orally and in writing is required.
  • Ability to work independently and establish priorities is required.
  • Attention to detail and accuracy is required.
  • Ability to establish professional and harmonious working relationships on all projects and with all parties involved.
  • Subject to drug and alcohol testing in accordance with the Fond du Lac Reservation’s Personnel Policies.
  • Subject to pre-employment and annual background checks.
  • Subject to immunization review and submitted proof of required vaccinations.
  • Travel is required.
