Reports to: FMF Service Manager
SCOPE OF OPERATION:
Coordinates all activities of the service department and its team members. Provides backup to the Field Service Manager when they are out on a call.
ESSENTIAL DUTIES AND RESPONSIBILIES:
· A part of the day-to-day activities of the FMF Service Department to organize all activities answer calls from customers relating to the service on their machinery.
o Primary point of contact for the customers when they request service on their capital equipment items.
o Work with Field Service Manager to determine most effective Service Team member to dispatch to a customers’ job site.
o Coordinate all logistics for the field service teams to include making all travel arrangements, providing the team member with detailed flight data, hotel and rental car arrangements and procuring travel advance funds when necessary.
o Responsible to secure all resources necessary to support the field service staff.
o Provides administrative support for all service technicians as well as the Service Manager including maintaining and preparing team members expense reports.
o Organizes the service calendar, creates service visit quotes, and inputs jobs into Jobscope system. Responsible for accurately maintaining and preserving all these documents into a paperless, shared directory.
o Works closely with Service Manager to review field services quotes and the scope of the project.
o Acts as administrative liaison with internal/external sources, i.e. customers, vendors and in-house employees.
o Handles inquiries about products and services and other customer support functions.
o Performs weekly and monthly report updates of service calls by pulling data from all sources to compile.
POSITION REQUIREMENTS:
· 5 years administrative experience in a manufacturing environment.
· Mechanically inclined, experience in field service is a plus.
· Basic understanding of machine hydraulics, pneumatics and electrical systems preferred.
· Ability to adjust and change priorities as needed. Excellent written and verbal communication skills.
· Extensive computer skills required including proficiency in Outlook, MS Word, Excel, PowerPoint and Internet applications.
