The Lab Department Associate Advanced is responsible for performing general office functions including receptionist duties, answering the phone, registering, and scheduling appointments and other clerical support for the department staff. The Lab Department Associate Advanced is additionally responsible for advanced management of insurance, benefits, eligibility, and authorization for the department's patients. In addition, the Lab Department Associate Advanced provides other office support for the department and department leadership and serves as a subject matter expert of insurance processes.
Responsibilities of these positions include:
- Accurately registers patients, verifying all required information, including orders to be completed for provider(s).
- Ensures proper orders are received and activated/scanned for all patients. Communicates with outside provider offices and hospitals to obtain supporting documentation and protocols as needed.
- Completes order entry and validation across multiple order entry methods, utilizing multiple reference tools to identify requirements.
- Verifies patient current insurance information. Completes insurance eligibility, co-pays, limitations, and authorization requirements. Manages insurance (re)authorization as appropriate.
- Communicates and documents necessary information appropriately with patients, families, providers, and interdisciplinary team members.
- Coordinates maintains, and revises staff and/or patient schedules, including future appointments.
- Facilitates pathological and miscellaneous billing, results & reporting across the hospital. Investigates errors, adjusts accounts as warranted and ensures coding is accurate. Reconciles outstanding reports and faxes lab reports as required.
- Monitor, maintain and order clerical supplies, food supplies, patient chargeables, medical supplies and supports used for patient care.
- Coordinates specimen transportation. Ensures specimens received meet the minimum identity requirements. Knowledgeable of current specimen requirements and turnaround requirements.
- Assist with data collection and compilation as requested by leadership.
- Acquires interpreter services as required.
- Maintains office equipment.
- Initiates/responds to Emergency Conditions/Staff Response as appropriate.
- Sets expectations to needs and turnaround to patient, including No Orders, clarification, mitigate wait times, patients when recollection is necessary.
Requirements for this position include:
- High School Diploma or GED required
- Associates degree preferred (medical office or office management)
- Must have an appreciation and desire to provide excellent customer service, excellent verbal and written communication skills, proficient keyboarding skills, basic math skills, and familiarity with medical terminology. Must be able to read, write, speak, and understand English. Ability to prioritize work and effectively manage time and work well under pressure
- Electronic scheduling and registration experience and proficiency in Microsoft Word and Microsoft Excel preferred
