PLAN ADMINISTRATION DIVISION

Foster & Foster employees over 100 people nationwide with 19 employees dedicated to our plan administration division. One of the many things that differentiates Foster & Foster from our competitors is the personal service and responsiveness we guarantee to our clients. Our goal is to make each client feel like they are our only client. Our plan administration division works with thousands of firefighters, police officers, and general employees to explain and set-up their pension benefits and administer their pension plans. We are seeking an individual to provide day-to-day administrative support in our Cape Coral, FL office. This position is in a collaborative, busy, fast-paced professional environment where there is the opportunity for career growth within the division.

Job Responsibilities:

  • Assist in answering multi-line phones and act as a liaison between clients and the administrator by taking detailed messages
  • Assist in the preparation of client meetings by typing meeting minutes, peer reviewing vendor payment warrants, updating activity spreadsheets with new benefit set-ups and ensuring all client deadlines are met
  • Assist in fulfilling meeting action items such as holding electronic trustee elections, completing renewal applications for fiduciary and cyber liability policies, and electronic filing of documents
  • Prepare and email retirement forms to members, check completed forms for accuracy, and update electronic member files and project management system
  • Communicate with plan professionals to obtain retirement data and follow-up to ensure data is received in a timely manner
  • Set-up retirement benefits with the plan custodian
  • Update plan portal with status changes and assist clients with portal access
  • Assist plan retirees with account changes and income verification letters
  • Assist with onboarding new clients by creating benefit processing forms, data collection, and electronic file organization
  • Respond to data requests from plan auditors and other plan professionals
  • Assist with the rollout of the member portal to the plan membership
  • Register plan trustees for educational conferences and audit travel reimbursement requests to ensure they align with the travel policy guidelines
  • Collaborate with other plan analysts on the creation of internal policies and procedures
  • Peer review client deliverables for accuracy

Qualifications:

  • 3 years of experience as a professional administrative assistant
  • Excellent communication and customer service skills to effectively engage with team members, clients, and professional vendors
  • Strong organizational skills to facilitate the completion of multiple tasks and deadlines in a fast-paced environment
  • Moderate to proficient computer skills in Microsoft Office
  • Knowledge of defined benefit pension plans
  • Excellent attention to detail to ensure a pristine work product
  • Experience with Trello will be a plus but is not a requirement

Benefits:

PTO (Paid Time Off):

Accrue 1.67 days each full month you work, for a total of 20 days of PTO per calendar year

Can rollover up to 5 days (40 hours) of unused PTO each year

In addition to the above PTO, the following are 11 paid holidays: New Year’s Day, Martin Luther King Jr. Day, President’s Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Columbus Day, Veteran’s Day, Thanksgiving Day, and Christmas Day

“Free” PTO day during your birthday month (or anytime during the year)

After you work for Foster & Foster for a full calendar year, you will accrue an additional 4 hours of PTO the following calendar year

Health Insurance:

You may also elect to contribute to a Flexible Spending Account (FSA) or a Health Savings Account (HSA) on a pre-tax basis to pay for health and dependent care expenses.

Retirement Plans:

Enrollment in Foster & Foster’s Defined Benefit Pension Plan. This is completely employer funded, no contributions are required by you.

Option to defer income into 401 (k) plan

Job Type: Full-time

Pay: $53,000.00 - $60,000.00 per year
