What are the responsibilities and job description for the Employee Licensing Specialist position at Four Winds Casinos?

SUMMARY: 

Responsible for coordinating and overseeing new hire and current employee licensing and assisting with overall human resources compliance requirements. Serve as the resource and liaison between Human Resources, employees, job applicants and the Pokagon Gaming Commission by ensuring that questions are answered and assistance is given when required. 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

  • Coordinates and ensures newly hired team members are provided with the appropriate license applications forms
  • Assists current employees with the licensing process
  • Responds to team member license application questions
  • Ensure timely renewals of all team member license applications
  • Determine peak license submission timeframes and plan submissions accordingly
  • Ensures timely response to requests from the Pokagon Gaming Commission licensing team
  • Maintains effective channels of communication with all team members, Pokagon Gaming Commission, Four Winds Compliance department as it pertains to licensing
  • Explains office procedures, departmental rules, regulations, and policies.
  • Create SOPs for processes and conduct training as needed/required
  • Audit licensing and compliance data and resolve any discrepancies
  • Run licensing reports to team leads, human resources, compliance, Pokagon Gaming Commission and others to ensure licenses are up to date
  • Assist in the preparation and submission of regulatory reports as requested
  • Ensure compliance with Human Resource processes
  • Ensures compliance with I9 regulations
  • Maintains the confidentiality of applicant, employee and departmental information.
  • Comply with all company standards, policies, procedures, and regulations
  • Assists with updating the HRIS as required
  • Assists with special projects

QUALIFICATION REQUIREMENTS:

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED), some college preferred.  Two to three years human resource, licensing, and/or senior administration experience and/or training, or equivalent combination of education and experience. 

SPECIAL QUALIFICATIONS:  

Must possess excellent communication skills. Exceptional attention to detail and the ability to work on/manage multiple projects in a fast-paced working environment. Strong computer, analytical and organizational skills. Must be proficient in Microsoft Office including Outlook, Word, and Excel. Proficiency in Microsoft Word and Microsoft Excel required. Excellent oral and written skills preferred.  

This position requires a Level 4 Gaming License.

LANGUAGE SKILLS:

Ability to read, analyze, and interpret documents, such as policy and procedure manuals, maintenance instructions, and other related documents.  Ability to write effective reports and memos.  Ability to respond to inquiries from employees or guests.  Ability to communicate effectively in one-on-one, small group, and large group situations.

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio and percent, and to interpret data from graphs.  

REASONING ABILITY:

Ability to apply common sense reasoning to variety of situations.

While performing the duties of this job, the employee is regularly required to talk or hear.  The employee frequently is required to stand, walk, sit, and use hands to finger, handle, or feel objects.  The employee is occasionally required to reach with hands and arms.

The employee must occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

The noise level in the work environment is usually quiet to moderate.  When on the casino floor, the noise level increases to loud.  A casino environment is typically smoky.
