About the Role:

To assist in enhancing and maximizing the value of the owner’s investment in the properties assigned. Assist in organizing and coordinating the activities of properties including physical property management, tenant service, financial and budget reporting, and leasing and marketing.

Generally, this position will directly manage some buildings, while also assisting the Senior Property Manager with their assigned portfolio. Portfolio responsibilities will increase commensurate with the employee’s ability. It is expected that this position will work integrally with Senior Management not only to assist, but also as training function.

Key Responsibilities:

For team-managed properties:

  • Assist in the development and preparation of annual property budgets, and the accurate and timely delivery of weekly, monthly and quarterly management reports as assigned.
  • Assist in controlling expense budgets as assigned.
  • Assist in the implementation and monitoring of physical conditions, property procedures, controls and checklists as assigned. Enforce rules and regulations of properties and related leases.
  • Monitor and coordinate the completion of work orders. Conduct required maintenance follow up to ensure all action items identified from inspections and work orders are addressed satisfactorily and timely. Provide assistance as required in coordinating/monitoring construction management, tenant improvement, capital improvement and property renovation projects.
  • Maintain current service agreements/work authorizations, vendor certificates of insurance, tenant emergency notification information, building life safety security procedures, as-built drawings, building certificates of occupancy, warranty manuals and other records required for assigned properties.
  • Assist in the collection of tenant rents as requested. Prepare weekly tenant delinquency reports.
  • Acquire a working knowledge of all operations and financial policies, procedures and systems. Ensure the implementation and ongoing utilization of all company policies, procedures and systems required for the effective operation of all assigned properties.

For properties directly managed:

  • Establish, and maintain strong working relationships with all clients and tenants. Plan, organize and manage the activities of assigned properties through the optimal utilization of resources to ensure the highest level of tenant satisfaction.
  • Manage/oversee the ongoing operations of vendors at assigned properties to include administration, maintenance and repair, leasing tours and vacant space marketing, renovation and construction, personnel and financial activity. Maintain involvement and provide necessary assistance to engineering and project management with capital expenditure projects to include, but not limited to, overseeing vendors, ensuring building rules and regulations are followed, and maintaining ongoing tenant communication and interaction to ensure tenant satisfaction.
  • Maintain an ongoing program for building maintenance and cleaning to include scope, bid and monitoring third party service providers to ensure contracts are adhered to and appropriate service levels are being met at most competitive pricing.
  • Prepare/ensure timely completion of monthly and quarterly management reports, to include but not limited to, budget variance reports, reforecasts and income and expense reports with variances noted.
  • Responsible for the ongoing collection of tenant rents. Review and approve tenant delinquency report. Develop and implement proactive rent collection and delinquency management measures, promptly addressing any deviations from collection policy with the responsible Senior Property Manager.

Minimum Requirements:

A bachelor’s degree or real estate related degree in property management, marketing/leasing, or real estate required.

Active real estate license from the State of Minnesota preferred, but willing to consider applicants in the process of receiving or willing to obtain. Valid driver’s license and transportation.

Planning and organizational skills are required, as well as strong interpersonal skills, ability to communicate effectively and professionally in writing and verbally, understand financial statements, and ability to understand legal documents such as leases and service contracts.
