What you can expect:
How you will make an impact:
Greet visitors, clients, and vendors to the agency and direct them to the appropriate staff person.
Scan ID or Ryan White card for all visitors.
Ensure new Ryan White cards are scanned in and linked to the eligibility section in Apricot.
Update or create new “Client Intake” records in Apricot.
Ensure Client Intake’s forms are updated annually.
Ensure confidentially form is signed by all persons as needed.
Distribute food pantry numbers for the Food Pantry Program.
Aid the Food Pantry program as assigned.
Create purchase orders for office supplies and bus/gas card purchases.
Maintain an organized and clean work area/ environment.
Prepare fresh coffee daily and maintain coffee inventory.
Input client check-in information into the client intake record.
Process external Apricot referrals and distribute them to the appropriate program in Apricot.
Distribute electronic faxes to staff
Administer Client Support surveys to ensure client services satisfaction.
Accept donations and disperse donation receipts- Collaborate with Finance on proper protocol.
Distribute and sort incoming and outgoing mail.
Receive rental payments at the beginning of each month from clients. Make a copy for the client, scan payments to a contact in the Housing department and take the payments to Finance the day payment is received.
Ensure client contraception is stocked and maintained (review expiration dates periodically).
Complete data entry projects as assigned to assist with grant requirements.
Create flyers pertaining to office closures and board meetings.
Make sure the bulletin board is updated with information pertaining to events, services, and available FFA job positions.
Perform essential data entry functions for medical transportation services in multiple data systems.
Process Lyft/Uber ride requests, perform data entry reconciliation for the medical transportation program; maintain the missed rides for Uber/Lyft.
ADDITIONAL DUTIES AND RESPONSIBILITIES:
- Other duties and responsibilities as assigned.
- Participate in weekly or biweekly coaching sessions with supervisor.
- Assist Wellness Support Specialist with REC coverage during breaks, lunch, and absences.

What you will bring to Friends For All:
- High School Diploma
- Good strategic/critical thinker, self-starter, goal-oriented
- Excellent verbal and written communications
- Proficient in Information Technology and electronic record keeping
- Available to work Monday- Friday 8:30am- 5:00pm at the main office location- Hybrid schedule unavailable for this position due to role requirements. Ability to operate with purpose, urgency, and accuracy in a fast-paced, deadline-driven environment

- Competence in Excel and other Microsoft applications as well as Adobe
- Competence in Sharepoint and other applications
- Regular and predictable attendance is necessary
- Maintain confidential information and adhere to all Friends for Life policies and procedures regarding Protected Health Information (PHI)
CERTIFICATES, LICENSES, REGISTRATIONS:
- Must have a valid State Driver’s License, provide proof of automobile insurance coverage to employer at all times, and have an automobile to be used daily.
