JOB TITLE: Parent Support Services Administrator GRADE: B

DEPARTMENT: Education Division  FLSA Status: Non-Exempt

SUPERVISOR’S TITLE:  Education Division Director

ESSENTIAL FUNCTIONS: $45K - $50K

Manage child and family recruitment and enrollments in Education Division programs. Provide Administrative Support to Division Director. Manage day-to-day operations of the Parent Mentor Program. Oversee and assist in recruiting and enrolling parents in Parent Mentor Programs (Parent Mentoring & Ladders of Opportunity). Recruit, train, and supervise Parent Mentor Program Coordinators. Serve as Parent Mentor Program liaison and primary representative. Assist with cultivating and developing employment, educational, and entrepreneurial resources for parents. Support Center Directors, the Student & Family Support Specialist, and Division Director in the implementation of educational services. Bi-lingual preferred. 

Main Job Tasks and Responsibilities:

  • Oversee recruitment of children and families for GOPYC Education Programs
  • Determine income and age eligibility of children and families for programs
  • Manage enrollment processes (CCAP, EHS, PFA, CACFP, Teen REACH, and PMP)
  • Engage with school principals and faculty regarding GOPYC Education Programs
  • Oversee the recruitment of schools and parents for Parent Mentor Programs
  • Enroll parents in Parent Mentor Program
  • Supervise Parent Mentor Coordinators
  • Enter Parent Mentor Coordinator and Parent Mentor data into PEI reporting systems
  • Facilitate and/or coordinate training for Parent Mentor Coordinators 
  • Effectively engage with funders (PEI, Teen REACH)
  • Attend Parent Mentor Training provided by the Parent Engagement Institute
  • Attend and participate in Parent Engagement Institute meetings
  • Perform agency data entry activities (CCAP, CACFP, EHS, Teen REACH, PMP)
  • Maintain parent/family records
  • Serve as primary liaison for PMP services
  • Attend agency training and staff meetings
  • Produce monthly and year end (annual) program reports
  • Assist with coordination of parent meetings and family activity nights (literacy, math, science nights)
  • Assist with classroom monitoring as needed
  • Perform other duties as assigned

Requirements

QUALIFICATIONS:


Experience:

  • 1-3 years working with at-risk children and families
  • 1 year management/leadership experience

Credential

§ Bachelor’s Degree in Social Work, Psychology, Sociology, Education or Management and or related field


Required Knowledge, Skills and Abilities

§ Ability to communicate and work with coworkers, supervisors, and funders, and provide necessary guidance and support at all times.

  • Mathematics and language arts proficiency 
  • Knowledge of accounts receivable 
  • Knowledge of general accounting procedures
  • Knowledge of Microsoft Office Suite (Excel, Word, Access, etc.), Google Sheets and Google Forms
  • Proficient in data entry and management
  • Ability to observe billing trends, assess accuracy of such, and respond proactively to reduce risk and financial loss
  • Excellent communication and organizational skills
  • Able to work collaboratively with teams
  • Demonstrated reliability regarding attendance and work performance
  • Ability to be creative, flexible and adaptive in ALL activities and responsibilities 
  • Must be a team player
  • Must want to help address the needs of the community
