Position Summary

The Medical Assistant Lead provides day-to-day operational and clinical workflow support for the Back Office. This is a working lead role focused on service excellence, quality care, operational efficiency, and team support. The Lead ensures smooth daily operations of the back office department.

Work Location: In-office presence at all times

Job Relations

  • Reports To: Office Manager
  • Directs: Medical Assistant Team
  • Inter-Relationships: Physicians, Advanced Practice Providers (APPs), clinical staff, hospital personnel, referring physician offices, patients, and division employees.

Skills & Qualifications

  • Clinical or back-office healthcare experience (Medical Assistant preferred), minimum of 1 year
  • Knowledge of medical terminology
  • Strong organizational, communication, and prioritization skills
  • Demonstrated reliability, accountability, and follow-through
  • Ability to remain calm, professional, and solution-focused in fast-paced or stressful situations
  • Prior lead or informal leadership experience in a clinical setting (1 year)
  • Experience supporting training or onboarding
  • Comfort working closely with leadership and appropriately escalating concerns
  • Bilingual Spanish/English preferred

Essential Responsibilities

Service

  • Prepare exam rooms with appropriate equipment prior to patient visits.
  • Set up procedures and assist providers during patient visits as needed.
  • Conduct pre-visit planning for upcoming clinic days to support efficient patient flow.
  • Schedule patient appointments as needed.
  • Participate in daily medical team check-ins to identify patient care or operational needs.
  • Serve as a point of contact for routine operational questions and task prioritization during clinic hours.
  • Maintain timely, professional communication with team members via Microsoft Teams and email.

Quality

  • Maintain and support high standards of patient care and clinical quality.
  • Reinforce adherence to established clinical protocols, workflows, and best practices.
  • Identify workflow gaps, inefficiencies, or quality concerns and escalate recommendations to the Office Manager.
  • Promptly escalate time-sensitive issues, patient safety concerns, or compliance risks.
  • Model professionalism, accountability, emotional regulation, and respectful communication at all times.

Finance

  • Support efficient clinic operations by coordinating daily staffing assignments and workflow coverage.
  • Assist in optimizing provider schedules and patient flow to reduce delays and inefficiencies.
  • Support cost-conscious use of supplies and equipment through proper preparation and organization.
  • Escalate operational barriers that may impact productivity or clinic efficiency to leadership.

People

  • Assist with orienting and supporting new Medical Assistant team members to clinic workflows and protocols.
  • Support onboarding and training efforts as directed by the Office Manager.
  • Provide day-to-day guidance and peer support while remaining within defined role boundaries.
  • Communicate expectations, reminders, and updates clearly and professionally as directed.
  • Accept feedback constructively and follow through consistently.
  • Maintain respectful, solution-focused interactions with providers, staff, and leadership.
  • Escalates personnel concerns to the leadership team for guidance and support.

Growth

  • Support continuous improvement by identifying opportunities to enhance workflows, communication, and team effectiveness.
  • Demonstrate initiative in learning clinic operations, systems, and best practices.
  • Flags training needs or development opportunities
  • Contribute to a culture of accountability, collaboration, and continuous learning.

Physical Requirements

· Sitting for extended periods of time

· Occasional Lifting of 50 lbs. (Patients over that weight with assistance)

· Extensive Computer & 10 key use

· Extensive Telephone use for conversations with patients, and physicians

· Visual acuity for managing computer systems and information.

Pay: $17.50 - $22.00 per hour

Expected hours: 35.0 – 40.0 per week
