The Office of the Provost provides leadership and guidance to support and achieve the academic mission for George Mason University. The various colleges, schools and institutes rely on this office for programmatic support, policy expertise, and exceptional customer service. In addition, the Provost Office plays a crucial and high profile role with the University’s governing board, the Board of Visitors.
About The Position
The purpose of this position is to provide dedicated support to both the Faculty Senate and the Office of the Provost. This dual-function role ensures the smooth coordination of Faculty Senate operations—while also delivering reliable and responsive administrative support to the Provost’s executive team. Reporting directly to the Director of Provost Operations and Administration and working closely with the Faculty Senate President.

Responsibilities
Faculty Senate Clerk
- Works closely with the Faculty Senate President to support the leadership and work of the Faculty Senate;
- Prepares draft of meeting agendas, minutes, and messages that will be sent to various campus entities;
- Maintains records for the Faculty Senate;
- Supports the Faculty Senate’s associated committees including, but not limited to:
- Sending reminders at appropriate times;
- Scheduling meetings;
- Sending calendar invitations;
- Taking notes during meeting and sending messages to faculty listservs on behalf of the Senate and it’s committees; and
- Updates and maintain Faculty Senate website ensuring all digital materials are accurate, accessible, and aligned with university brand standards.
- Responsible for schedule and meeting coordination, reserving conference rooms, connecting technology for hybrid meetings, and general meeting assistance;
- Acknowledges, prioritizes and responds to schedule requests;
- Provides administrative support to other executives within the Office of the Provost on a fill-in or as-needed basis, ensuring consistent coverage and continuity of operations; and
- Assists with high-priority tasks and projects as needed.
- Bachelor's degree in related field or equivalent combination of education and experience;
- Proven experience in accurately taking meeting minutes and preparing concise summary notes;
- Demonstrated knowledge of office administration practices and proficiency with current technologies, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Microsoft Teams, Zoom, and other web-based productivity tools;
- Familiarity with website content creation and maintenance using a content management system (e.g., WordPress, Drupal);
- Excellent written and verbal communication skills, with the ability to convey information clearly, professionally, and effectively to diverse audiences;
- Demonstrated ability to manage calendars, coordinate schedules, and arrange meetings efficiently;
- Demonstrated interpersonal skills with the ability to work collaboratively as part of a team, as well as independently with minimal supervision;
- Exceptional organizational and time management skills, with the ability to prioritize tasks, manage multiple responsibilities simultaneously, and remain composed under pressure; and
- Familiarity with website content creation and maintenance using a content management system (e.g., WordPress, Drupal).
- Experience working in higher education.
