Medical Coordinator
Summary of the Job:
The Medical Coordinator has primary responsibility to provide administrative office and case support through scheduling medical appointments and establishing collaborative relationships with health care facilities and other medical providers for the assigned program. The Medical Coordinator will assist in maintaining all partner agreements, making referrals, submitting TARs, and ensuring timely management of medication services. The Administrative Assistant should be committed to Sanctuary practice utilizing tools that reinforce our shared language to create a trauma-responsive culture.
Primary Responsibilities:
- Coordinate with Case Managers, Case Aides, Program Director, and other program staff to ensure medical needs of clients in program are documented and responded to in a timely manner.
- Maintain accurate records of all needed medical services for each client in program, scheduling appointments within specified timeframes as required by agency procedure, licensing guidelines and ORR policy.
- Communicate appointments with Case Managers, Case Aides, Office Manager, and program staff to ensure clients are transported as scheduled.
- Ensure medication services for clients are communicated appropriately to program staff and all needed medication has been ordered and received by the program.
- Keep a current record of all medical service providers, including health care facilities, primary care doctors, dentists, and optometrists, approved for providing services to clients in program.
- Ensure medical service agreements and updates are available to the Program Director and agency HR department and approved according to agency, licensing, accreditation, and ORR regulations.
- Establish and maintain cooperative relationships with medical service providers, case managers, partner agency representatives and program staff on behalf of the agency.
- Maintain accurate medical service records in each client file as assigned, submitting all documentation and reports completely and on time, ensuring documentation is in full compliance with agency, licensing, accreditation, and ORR contract guidelines.
- Process client records as assigned.
- Utilize personal safety plan for managing emotions and interactions with staff and clients.
Qualifications:
- At least 21 years of age
- A high school diploma or GED, either one year of formal training in a related field and one year experience or CNA experience.
- Strong written and verbal communication skills
- Ability to sit at workstation for extended periods of time; occasionally lift/carry parcels up to 35 pounds.
- Ability to read and interpret documents/procedure manuals.
- Possess the ability, flexibility, and maturity to render the duties and responsibilities required of this position.
- Have the ability to manage time, set priorities and to organize and follow structured routines.
- Advanced computer skills with the ability to learn new software applications.
- Handle multiple tasks simultaneously.
- Able to show proof of required vaccinations/immunizations.

- Understanding of confidential issues and protected information assigned under HIPAA.
- Complete required staff development hours within the program including 24 hours in childcare related training, current CPR, 1st Aid and approved emergency safety intervention training.
