Overview
The Research Assistant will provide administrative and clerical support role at the clinical research site. The goal is to ensure the smooth operation of day-to-day office activities and to provide essential support to the research team, including study coordinators, investigators, and regulatory staff. The Assistant maintains organization, supports scheduling, manages documentation, and helps facilitate effective communication between site staff, patients, sponsors, and vendors.
Responsibilities
- Answer incoming calls.
- Schedule and confirm study appointments, coordinating calendars with CRCs and site staff to ensure timely completion.
- Maintain office supply inventory and prepare orders for study-related materials (e.g., lab kits, shipping materials)
- Assist with document scanning, faxing, emailing, and filing (physical and digital).
- Support patient engagement by distributing reminder calls and texts, as well as check-in instructions.
- Help maintain confidentiality and secure handling of patient and study data (HIPAA/GCP compliance).
- Coordinate courier pickups and specimen shipments as needed.
- Enter patient data into the EMR system (in real-time) after PI evaluation for each study.
- Upload patient medical records —including FibroScan reports— into the EMR system (Real-Time).
- Daily monitoring of the Temperature Log.
Skills
- High school diploma or equivalent required
- Previous experience in a medical office, research site, or healthcare setting is a plus.
- Strong organizational skills with attention to detail and accuracy.
- Proficient in Microsoft Office (Word, Excel, Outlook); familiarity with CTMS or EDC systems is beneficial.
- Ability to prioritize tasks, multitask, and work independently in a fast-paced environment.
- Bilingual (English/Spanish)
- Strong understanding of documentation review processes and regulatory compliance (HIPAA, GCP).
- Excellent organizational skills with attention to detail.
- Ability to work collaboratively within a team-oriented environment.
- Strong communication skills, both written and verbal.
