Overview

As the only aerial tramway in Southeast Alaska, guests at the Goldbelt Tram are invited to soar to new heights in scenic adventure aboard Juneau's top attraction. We offer locals and visitors an opportunity to experience breathtaking Alaska scenery, explore the miles of trails atop Mount Roberts, and learn more about Alaska Native culture.

SUMMARY

The Administrative Assistant performs a wide range of administrative and office support activities to facilitate the efficient operation of the organization.

Seasonal Employees are eligible for the Seasonal Sign-on Bonus and Layoff Employee Bonus Plan ("Plans") is designed to provide an effective means to motivate and compensate eligible seasonal employees during the term of their assignment. However, Goldbelt, Inc. may, in certain limited circumstances, grant discretionary performance bonuses outside of this program, in the sole discretion of the Company.

Goldbelt, Inc. hopes that by providing short-term incentive compensation, this will motivate and increase the retention rate among its employees which in turn will enhance Goldbelt Inc.'s long-term value.

Salary Range: DOE $18.00-25.00

Responsibilities

JOB DUTIES

    Receive and direct visitors and clients.

  • Maintain all records and filing systems.

  • Access files to fill requests for information and documents.

  • Resolve administrative problems and inquiries.

  • Data entry of new merchandise.

  • Codes invoices and scans them to AP after entering them on spreadsheet.

  • Web sales and shipping merchandise.

  • Verifies all invoices with shipments before requesting signature for approval.

  • Couples shipping invoices with supplier invoices for correct COG.

  • Compose correspondence, memos, reports, and emails. This includes written responses to routine inquiries.

  • Brief management on events relating to the company status.

  • Answer phones, screen calls, take accurate messages, or answer routine questions.

  • Photocopy, fax, or mail correspondence as appropriate.

  • Process, sort, and distribute incoming mail.

  • Prepare outgoing mail.

  • Give and receive information requiring independent judgment or discretion regarding specific business of the company, by telephone or direct personal contact.

  • Maintain confidentiality of all company business.

  • Coordinate maintenance of office equipment.

  • Make recommendations to management on events and/or other items as needed.

  • Performs other incidental and related duties as required and assigned.

Qualifications

NECESSARY SKILLS AND KNOWLEDGE

  • Ability to meet time and attendance requirements.

  • Ability to work all different shifts including holidays and weekends.

  • Ability to handle stress under pressure.

  • Ability to provide quality customer service.

  • Proficient in MS Word, Excel, and POS systems.

  • Excellent written and verbal communication skills.

  • Good planning and organizational skills.

  • Filing and recordkeeping skills.

  • Very good understanding of business practices.

  • Able to comprehend and correctly follow and apply oral and written instructions, procedures and guidelines

  • Ability to operate standard office equipment and personal computer based workstations.

  • Ability to prioritize projects and work accurately under stress or with frequent interruptions.

  • Must have a clear working knowledge of company policies and practices including all post operations.

  • Excellent attention to detail.

  • Good problem-solving skills.

  • Ability to work well as a member of a team.

  • Ability to work directly with the public, providing information and assistance on a daily basis.

  • Ability/willingness to learn and relay information of interest to visitors such as local history, people, culture, geography, etc.

MINIMUM QUALIFICATIONS (education, experience, skills)

  • High School Diploma or equivalent.

  • One (1) year of experience that includes administrative tasks such as greeting clients, answering multi-line telephone, typing filing, sorting mail, entering data, receiving payments and maintaining logs.

  • Ability to successfully pass a background check.

PREFERRED QUALIFICATIONS (education and experience)

  • Prior Tram Retail experience.

  • Four (4) years customer service experience.

  • Two (2) year administrative or clerical background.

  • One (1) years on any POS system, RMS preferred.

  • Two (2) years high volume cash handling experience.

WORKING CONDITIONS

Constant movement in/out of an aerial tramway and lift operation, cabin up/down an 1800 ft.; constant exposure to extreme heights, and periodic exposure to dangerous equipment during emergency evacuations or power failures. Constant public interaction and communication, and must be able to lift/move up to 50 lbs, constant bending, lifting, stooping is required to maintain adequate supplies. The Tram is a non-smoking facility with designated outside smoking areas.
