Summary/objective

As an administrative assistant you will provide support to our department managers and employees, assisting in daily needs and managing general administrative activities. Requiring knowledge of office systems and procedures. Clerical duties may be assigned in accordance with the office procedures.

Interacting with Computers

  • Use accounting or bookkeeping software
  • Use computers to enter, access or retrieve data
  • Use spreadsheet software
  • Use word processing or desktop publishing software

Performing Administrative Activities

  • Date stamp messages, mail, or other information
  • Fill out business or government forms
  • Fill out insurance forms
  • Fill out purchase requisitions
  • Maintain appointment calendar
  • Maintain inventory of office forms
  • Maintain legal forms
  • Maintain records, reports, or files
  • Organize legal information or records
  • Prepare tax reports
  • Process invoices
  • Route multi-line telephone calls
  • Type letters or correspondence
  • Compile itinerary of planned meetings or activities
  • Compute financial data
  • Measure, weigh, or count products or materials
  • Process account invoices

  • Answer customer or public inquiries
  • Greet customers, guests, visitors, or passengers
  • Provide customer service

  • Ensure correct grammar, punctuation, or spelling

Required education and experience

  • High School Diploma (GED or High School Equivalence Certificate)
  • Two years minimum as administrative assistant or office manager
  • Two years minimum in customer service-related position
  • Proficient in Microsoft Office and Google Suite

Preferred education and experience

  • Clerical Experience- knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology
  • Extensive knowledge of the structure and content of the English language including the spelling of words, rules of composition, and grammar.
  • Customer and Personal Service Experience- Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting standards for services, and evaluation of customer satisfaction.
