Job Summary: The purpose of this position is to serve as the Program Support Specialist for Career Connection as well as all of Corporate Headquarters. This position is responsible for overseeing the day to day operations of the lobby area of the Corporate Headquarters Monday through Friday and for assisting the Career Connections participants.
Supervision Received: The Program Support Specialist receives leadership and guidance from the Lead Career Coach, and Director of Career Services.
Supervision Exercised: The Program Support Specialist does not have direct reports.
Responsibilities:
Answering and routing all incoming calls to the appropriate parties. Messages will not need to be taken unless it is an emergency or the call is transferred back to the Reception area;
Ability to handle questions on: where is the nearest ADC location, store location, daily sales calendar store specials, and if a donation item is something we take or where we can refer them to;
Give information regarding services available through Career Connections;
Schedule appointments for Career Connections staff as needed;
Sign job seekers up for our services, daily check in for the resource center;
Assist job seekers in the resource center with emails, resumes and online applications when needed as long as there is back up at the front window;
Interview participants and review paperwork necessary to receive supportive services;
Copy I-9 information for Intake and Career Coaches as needed without leaving the front desk area;
Direct walk-in donors to the back drive up area;
Accept employment applications for Goodwill positions and update EEO spreadsheet and other reporting requests as assigned.
Maintain updated job leads online and in the career center.
Keep daily count of new and returning Career Connections visitors;
Will act as the opener/closer of the main lobby and reception area. Hours are 8:20am – 5pm, Monday-Friday, with a 40-minute lunch. Must report in to the office at least 10 minutes early to adequately open up the area. A longer lunch will be given to accommodate the early arrival. Will ask for the Center Manager’s help when needed and call in early when unable to arrive on time or will be out sick for the day;
Will handle assigning visitor badges, track all visitors with the log, and distribute all Board Members ID Badges when they arrive for special meetings or events if necessary;
Will close out the Office area at the end of the day – which includes turning off all machines/lights, forwarding the calls to night ring, securing all doors in the lobby and reception area;
Performing other duties as assigned or deemed necessary.
Assists in any other projects as determined by management.
Ensure compliance with all Goodwill of Southern Nevada (GWSN) policies provided in the Team Member Goodwill Guidebook, Goodwill Industries International standards, and safety and security regulations.
Adhere to all GWSN Manuals, handbooks, policies and procedures.
Requirements:
Team Member must have a minimum of two years of experience in receptionist/office work and at least a high school diploma.
Must be able to handle a hectic environment, be bi-lingual in Spanish, and have a pleasant and distinct voice.
Handle numerous calls promptly; have exceptional phone skills that can place people on a continuous hold and answer their calls in turn as well as manage the line in the main lobby.
Must be organized, have exceptional interpersonal skills, professional look and attire, and have the ability to pay close attention to detail.
Our Office Community Based Training Clients will be trained during slow times by our Program Support Specialist and must be able to work with clients that have a disability or special need.
Must be computer literate in Microsoft Suite software, including Excel and Outlook.
Must be fluent in English; bilingual a plus.
Must exhibit a high level of integrity and business ethics.
Requires a high level of adaptability and flexibility.
No record or disclosure of criminal conviction within 7 years from date of application that indicates a tendency towards theft, violence, dishonesty, deceit, drug manufacture or sale, moral turpitude, or predatory behavior.
Must provide proof of identification and eligibility to work in the United States of America.
