Schedule: Mon-Fri 8 am to 4:30 pm

SUMMARY
Assist with a variety of clerical and administrative duties. These tasks include greeting guests, managing email and mail correspondence, shipping/receiving, inventory and calendaring. You may also assist with updating files and ordering office supplies.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Answer phones and take messages
- Respond to emails
- Manage mail correspondence
- Greet guests and provide them with a positive first impression of the organization
- Keeping office secure by following procedures, monitoring logbooks, and issuing visitor badges
- Help maintain office calendar
- Perform data entry and filing tasks
- Documenting and communicating various actions, irregularities, and continuing needs
- Completes order acknowledgements and other administrative and clerical duties as required
- Works closely with Production Scheduler to follow up on scheduled order commitments. Communicates with shipping to assure proper shipping and handling of customer orders. Responds to customers' inquires or complaints regarding company's product or services.
- Relay customer feedback regarding products or services to appropriate individuals in sales, quality assurance and product management.
- Shipping / Receiving clerical duties
- Assist with inventory management
- Provide administrative/clerical support to Sales Managers, Customer Service Representatives
- Perform other clerical tasks as needed
SUPERVISORY RESPONSIBILITIES
This position has no Supervisory responsibilities.

QUALIFICATIONS

Education and/or Experience: Highschool diploma or equivalent with minimum 2 years of administrative experience.
Language Skills: Ability to read and comprehend complex instructions, correspondence and memos. Ability to compose correspondence. Effective presentation skills.
Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability: Application of common sense understanding to comprehend instructions and solve complex problems.
Computer Skills: Requires knowledge of contract management systems, database software, manufacturing software, order processing systems, spreadsheet and word processing applications.
