We seek an administrative assistant to join our fast-growing, highly congenial workplace. The ideal candidate is efficient, detail-oriented, and skilled in developing and maintaining workplace and customer relationships. Additionally, the candidate must be multi-tasking and able to work in a fast-paced environment.
Administrative Assistant Job Responsibilities:
- Provides administrative support to ensure efficient office operations to the Executive Director and Board members.
- Maintains physical and digital filing systems.
- Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
- Responds to emails and other digital queries and correspondence.
- Manages calendars for Executive Director
- Inputs and updates information in databases and spreadsheets.
- Prepares meeting agendas and takes meeting minutes.
- Coordinates logistics for meetings, including room setup and catering.
- Uses Microsoft Word and Google Docs, Sheets, Forms, and Slides to create and edit documents.
- Operates and maintains office equipment, including printers, copiers, and fax machines.
- Works with maintenance staff and outside vendors to ensure office equipment is in good working order and office supplies are always on hand.
- Researches as requested and compiles and summarizes information for reports or presentations.
- Works closely with the Executive Director and supports the overall organization
- Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
- Ensures that deadlines are met and adapts to changing priorities.
- Presents a positive and professional image for the organization.
- Assists with the registration process of STEM, SEEP, and Youth Leadership Academy (Grades K and up)
- Manages STEM program and is responsible for parental correspondence, payments, and receipts
- Assist STEM staff as needed to include substituting and handling CNP documentation
- Provides support and assistance at all fundraising events.
Work Hours and Benefits:
*$15-$20 per hour
*8:00 am - 5:00 pm (one hour unpaid lunch break)
*Paid federal holidays, earn one sick day per month, earn 40 hours of vacation leave
- Education, Experience, and Licensing Requirements:
- Associate's Degree or Bachelors
- Past administrative experience or tenure in an office setting is a plus
