Role Overview:
The Hospital Manager is responsible for overseeing the day-to-day operations of our veterinary hospital, ensuring efficient processes and a high standard of care. As the right hand of the owner, the Hospital Manager supervises all staff, including the Nurse Leader and CSR team, manages client relations, and ensures compliance with all regulations and licenses. This role demands strong leadership, organizational skills, and the ability to solve problems effectively.
Key Responsibilities:
1. Leadership and Supervision:
Lead and supervise all hospital staff, including the Nurse Leader and CSR team. Act as the right hand of the owner, providing support and updates on hospital operations.
Ensure all processes and licenses are up-to-date and compliant with regulations. Conduct training sessions with the team to ensure high standards of care and service.
- Supervise the hospital's relationships with General Practitioners, oversee the sales representative, and organize Lunch and Learn sessions.
2. Operational Efficiency:
- Assist in managing client flow to reduce wait times and improve the client experience.
- Engage with clients to ensure satisfaction and address concerns.
Guarantee the empathy and transparency of the team in all interactions. Verify estimates and invoices after review by the Head Technician and liaise with the auditor from the holding company.
Coordinate with the procurement coordinator to receive suppliers and goods. Oversee the organization and cleanliness of storage areas and ensure proper labeling and tracking of all supplies.
- Monitor inventory levels and place orders as needed to ensure continuous availability of essential items.
- Coordinate with the procurement coordinator to receive and verify shipments, ensuring accuracy and quality of delivered goods.
- Solve conflicts with clients and staff, maintaining a positive environment.
3. Resource Management:
- Be available as an extra resource during peak times.
- Ensure the hospital's facilities are functional, including IT, AC, electrical, and building maintenance.
- Organize the schedule for technicians with the Nurse Manager and for doctors with the Regional Medical Director/Owner.
- Participate in weekly meetings with the Owner, Medical Director, and Nurse Manager.
- Schedule floor meetings and facilitate effective communication among staff.
4. Team Motivation and Support:
- Implement motivational actions for the team, such as food delivery, gift cards, and public recognition.
- Ensure employees' basic needs are met, including uniforms, manuals, and access to the training portal.
- Monitor the progress of training programs and address any issues.
- Manage the point system for employee performance, including issuing warnings.
5. Human Resources:
- Handle hiring and terminations in collaboration with HR.
- Act as the public relations representative for the hospital unit.
- Suggest and implement new procedures and policies to improve hospital operations.
6. Marketing Collaboration:
- Work with the marketing team to create content and promote the hospital's services.
