Description

The Event Assistant plays a key role in supporting Green Valley Recreation’s performing arts programs, including concerts, movies, dances, and special events. This position involves providing exceptional customer service to patrons, artists, and staff while assisting in the seamless execution of events.

As an Event Assistant, you will prepare event spaces, including the physical setup of tables, signage, and other materials. You’ll handle box office functions, such as ticket sales and program information, and may also manage concessions. Additionally, you’ll work closely with volunteers to ensure all event needs are met, maintain inventory of event supplies, and process funds from concessions and donations.

The work schedule for this position is flexible, with hours varying based on event needs. Many events occur during evenings and weekends, requiring availability during these times. A typical workweek includes around 24 hours.

Essential Job Functions

  • Provide the highest customer service to all patrons, artists, and staff.
  • Prepare for events, physically set up spaces, tables, etc., place signage, process tickets, and prepare programs and other materials.
  • Provide volunteer coordination for events, ensuring adequate coverage for each event and communicating with volunteers.
  • Assists with the creation of marketing materials and distribute them appropriately, including hard copy materials and online marketing materials.
  • Perform box office functions, which include ticket sales, providing program information, and/or concession functions at events.
  • Record and process all money taken in through concessions and donations.
  • Maintains the inventory of A&E products and orders additional supplies as needed.
  • Serve as a backup House Manager when necessary.

Qualifications


Required Qualifications Required qualifications to effectively perform the job.  An equivalent combination of education, training and experience will be considered.  (Additional requirements may be designated by position.)

  • High School Diploma or GED.
  • Must maintain a valid, current driver’s license.
  • Must maintain current CPR AED certification.

  • Knowledge of, and experience with, computer software applications, including Microsoft Office Suite (Word, Excel, Access, PowerPoint) and Microsoft Publisher.
  • Knowledge of social media (Face book, Twitter, Instagram) and other online media sites.
  • Ability to speak and understand the English language well.

 

Work Environment Environmental or atmospheric conditions commonly associated with the performance of the functions of this job.

  • General office conditions.
  • May be exposed to loud noise levels.
  • Must be able to perform outdoors in variable weather conditions.
