Position Summary
A unique opportunity exists for candidates with a successful track record of accounting, financial and operational management. The successful candidate will be an integral part of the senior leadership, shaping the operating and strategic direction of the Greenwich History Society.
The Director of Finance & Operations role reports directly to the Executive Director & CEO and encompasses all aspects of the organization’s financial, administrative, facilities, IT, and human resources functions. The DF&O will be a strategic partner to the Executive Director/CEO, developing short-term, medium-term and long-term plans that promote the realization of strategic objectives in a financially sound manner.
Key Responsibilities
Accounting/Financial
· Maintain the accounting records of the Greenwich Historical Society
· Act as primary contact to the GHS outside auditor for all reporting and the annual audited financials by October.
· Prepare the annual operating and capital budgets in collaboration with the Finance Committee by April1st
· Provide monthly P&Ls to Executive Director with analysis of variance vs budget
· Provide regular financial updates (operating results, investment, cash flow, and financial condition) to the Finance Committee.
· Analyze and provide recommendations on earned revenue activities (including museum store, facility rentals, and admissions), balancing strategic objectives and financial considerations.
· Oversee Investment Portfolios in conjunction with Finance Committee
· Maintain chart of accounts to provide consistent reporting and enhanced ability to identify underlying drivers of performance versus budget and prior years
· Identify cost savings opportunities across organization on an ongoing basis; present recommendations to Executive Director.
· Develop and maintain standard operating procedures and reporting for all departments, to ensure the optimal use of resources.
· Improve cross departmental collaboration through improved data analytics and reporting and clear communication.
· Partner with the Executive Director and other senior leadership staff in the strategic planning process.
· Act as primary contact to the GHS outside auditor for all reporting and the annual audited financials.
Operational and Systems
· Coordinate with Development Department on receipt of funds reconciling coding to financial records.
· Assist in managing grant-related financials.
· Coordinate annual insurance renewals.
· Develop ad hoc reports as necessary.
· Primary responsibility for HR related issues (payroll / benefits though ADP and retirement plan (TIAA))
· Maintain ADP data and services
· Annual review of health insurance benefits
· Update personnel manual and policies annually
· Update Emergency Procedure Manual annually
· Maintain computer services in coordination with IT consultant – both hardware and software. Monitor all online services
Facilities
· Manage the finance and administrative department staff and oversee the third party property management and human resources relationships. Curatorial and Development Departments have a dotted line reporting responsibility to the DF&O.
· Oversee capital improvements in coordination with property manager, Curator, Buildings and Grounds and Finance Committees

The DF&O will be adept at managing a variety of complex tasks in a timely manner. This is a fulltime on-site position.
Local to Fairfield County.
Qualifications
Bachelor’s and/or Master’s degree in accounting/finance and or 10 years of relevant experience in managing the accounting/financial functions of a not–for –profit entity. Knowledge/experience with fund accounting necessary.
Compensation and Benefits
Compensation: $120k - $140k depending on senior level experience with finance, operations and human resources.
