We are seeking an Office Manager for our Warrenton Office. The Office Manager will be responsible for overseeing the operations of our office. The Office Manager will work to maintain a productive and efficient work environment. The ideal candidate is detail-oriented, resourceful, and capable of managing administrative support across a growing office.
Primary Duties and Responsibilities:
- Oversee daily office operations and create a welcoming, efficient work environment for all office employees.
- Supervise the Receptionist.
- Support the coordination of employee events and team-building activities to help foster a positive and collaborative culture. Oversee the office events committee.
- Manage office inventory, supplies, pantry restocking, and vendor deliveries (e.g., snacks, beverages, kitchen supplies).
- Acting as a liaison between Office Handyman and Vendors.
- Annual contract negotiation, renewal, and/or certification with the following:
- Reviewing new vendor contracts and submitting to Legal any matters for approval/execution.
- Responsible for the Kastle security system/assignment of office key fobs, and activation/deactivation of key fobs.
- Maintain office supplies inventory and coordinate procurement to support daily operational needs..
- Review and submit all office-related invoices to Accounting for payment.
- Maintenance of AED machines and monthly reporting to the American Red Cross.
- Coordinating periodic Red Cross re-training of AED-qualified staff for the office.
- Order all business cards for Warrenton Office employees.
- Order Marketing approved letterhead and envelopes for the Warrenton Office.
- Assign and maintain the office seating chart, including cubicles and private offices.
- Assign and maintain hoteling stations for remote employees.
- Oversee the scheduling and maintaining integrity of the Nursing Room.
- Draft and manage results of all Warrenton Office client-related surveys via Survey Monkey.
- Preparing of employee notifications via email – e.g., early dismissals, inclement weather, office updates.
- Handle conference meeting room reservations and requests, ensuring proper meeting setup to ensure availability and functionality.
Experience, Skills, and Abilities Required:
- 3 to 5 years of Office Management experience.
- Excellent organizational and time management skills.
- Superior communication skills, both written and verbal.
- Ability to handle confidential information with discretion.
- Problem-solving mindset.
- Multifamily real estate experience is a plus.
