SUMMARY: Performs a variety of duties related to bank operations / CIF activities including reviewing new accounts, tracking and reporting exceptions and reviewing customer information maintenance for accuracy and appropriate backup. Perform other duties and responsibilities as required or assigned by supervisor.
ESSENTIAL DUTIES AND RESPONSIBILITIES
The Customer Information File (CIF) Specialist reviews a constant flow of data-change requests to sensitive customer records in the bank’s core system and against appropriate documentation. The position requires a strong work ethic and the ability to remain focused while reviewing repetitive data entry as well as account opening documentation. Some documentation may be complex at times when layered accounts, trust relationships or LLC entities are involved.
Primary duties include maintaining high-quality work standards and providing a high level of quality service to internal bank customers.
Primary duty involves reviewing all new bank accounts opened by the branches to ensure accuracy and compliance with BSA, CIP and internal bank procedures. This includes review of agreements and opening documentation as well as accuracy of entry in the bank systems. New accounts will be tracked against system new account reports to ensure accounts are received in a timely basis. All missing accounts or missing documentation and corrections will be tracked through reports and sent to the branches twice monthly.
Follow-up on all exceptions must be made to ensure items are being managed in an appropriate matter. Any accounts pending with exceptions aging beyond 30 days will require escalation to management for determination.
Scanning of all new accounts and change requests through Synergy platform within 10 days of account opening, paying close attention to image quality.
Review daily changes to customer records and maintenance via Synergy reports and request appropriate backup from the bank representative performing the change (i.e. changes in contact information, adding and removing signers and authorized persons from accounts, paying strict attention to accurate data entry and to the complex relationships across customer and account records).
Meet internal service-level standards (i.e. New accounts are to be received after 3 days of account opening and should be reviewed and scanned within 10 days of account opening; reports of missing documentation/accounts need to be submitted to the branches twice monthly / no items are to be allowed to age beyond 30 days)
Work closely with branch personnel and BSA department on all matters regarding new account exceptions.
Complete tasks as assigned within allocated time frames and provide timely updates to management.
Adhere to and comply with the applicable, federal and state laws, regulations and guidelines, including those related to Anti-money laundering (i.e. Bank Secrecy Act, CIP, US PATRIOT Act, etc.)
Adhere to Bank policies and procedures.
Complete required training.
Identify and report suspicious activity to the BSA Officer.

EDUCATION and/or EXPERIENCE
High school diploma or equivalent; two years of previous bank operations or related banking experience. Strong knowledge of financial institution CIP and BSA procedures is required as well as an understanding of ownership structures and entities. Strong organizational and analytical skills. Detail-oriented with the ability to work in a deadline intensive work environment. Strong communication and interpersonal skills. Proficient in Word and Excel. Experience with Jack Henry platforms preferred.
