What are the responsibilities and job description for the Medical Staff Scheduler position at Guide Anesthesia?

This is a remote position. You will be required to have adequate space to securely and professionally meet for virtual meetings, discuss scheduling in a confidential setting and meet with appropriate facility staff virtually and by phone to respond to issues. The position also requires a minimum of 2 years medical office scheduling experience preferably in scheduling providers at multiple ASC's and Hospitals. Applicants without the requisite experience and space to work remotely in a professional manner should not apply.

Position requires utilization of clinical knowledge to schedule appropriate anesthesiology coverage consistent to anesthesia provider’s skillset, comfort, and in accordance with the scheduled surgery. Must accommodate surgeon and facility requests as able. The Scheduler will work with and assist the lead anesthesia scheduler to obtain needs from facility contacts and coordinates with providers and clinical leadership to arrange coverage for all cases. This position requires excellent customer service skills with patients, anesthesia providers, and the public. The scheduler must be able to respond to both written and verbal correspondence regarding scheduling in a timely, accurate manner. Individual must be organized and be able to manage demanding workload with accuracy. Communicates with staff professionally maintaining values of Guide Anesthesia with all clients and internal staff. Responsibilities:

  • Schedules anesthesia coverage for office, ASC, and hospital based medical procedures, utilizing various communication methods and software
  • Effectively and efficiently schedules and confirms coverage for office, ASC, and hospital based medical procedures utilizing various communication methods and software to collect information needed to provide services for clients
  • Communicates with appropriate administration and anesthesia staff to ensure all necessary equipment will be on site for anesthesia services.
  • Provides accurate, detailed information to anesthesia providers regarding preparations or equipment, time needed arrival, and any other directional information needed; takes appropriate action in responding to questions from anesthesia providers and facilities.

As needed per facility, coordinates pre-procedure assessments being sent to anesthesia provider of record, facilitates any additional testing or patient history needed from facility for anesthesia services.

  • Maximizes efficiency of anesthesia coverage to increase utilization of anesthesia provider’s time
  • Observes and accounts for the details in scheduling such as surgeons who arrive late or early, or surgeons who utilize different definitions of start times.
  • Collaborates with appropriate facility staff to ensure a cohesive working relationship in providing anesthesia services.
  • Proactively anticipates challenges with schedule and communicates to all necessary parties any issues/challenges. Use effective critical thinking skills to solve scheduling issues and conflicts throughout the day.
  • Ensures accuracy of schedule and maintains appropriate shift notes including cancellations and add-ons.
  • Responsible for adding new associates to scheduling software, keeping accurate information within software used by team
  • Tracks scheduling metrics determined by the Scheduling Manager and keeps metrics accurate/up to date
  • Ensure provider has fully approved credentials prior to scheduling
  • Takes initiative to identify and correct scheduling issues for the upcoming week, month, and next 90 days Skills Requirements:

  • Ability to be self-motivated with good time management skills
  • Must be able to work with minimal supervision and instruction in a remote location

Job Type: Full-time

Pay: $22.00 - $23.00 per hour

Expected hours: 40 per week
