If so, we invite you to join our team as an Intake Coordinator! In this vital role, you will act as the link between new clients and our internal teams—ensuring seamless coordination, timely communication, and high levels of client satisfaction. You’ll play a key part in making sure each individual we serve receives the attention, care, and support they deserve.
What You’ll Do:
✅ Intake Coordination:
Initiate and manage the internal intake process within 24 hours of receiving a referral.
✅ Client Communication:
Engage with referred individuals and families to gather necessary information, understand their needs, and keep them informed throughout the intake process.
✅ Staff Matching:
Thoughtfully match clients with appropriate team members based on preferences, schedules, and suitability.
✅ Documentation Management:
Ensure all client records and documentation are up-to-date and compliant with DDD regulations.
✅ Team Collaboration:
Work closely with supervisors, schedulers, HR, and other departments to ensure a smooth onboarding and service delivery process.
✅ Follow-Up & Tracking:
Monitor referral status, address potential delays, and ensure no one falls through the cracks.
What We’re Looking For:
✨ Experience as an Intake Coordinator, or in a similar customer-facing role (Preferred)
✨ Sales or client engagement experience is a strong plus
✨ Bilingual in Spanish (highly preferred) – ability to communicate with Spanish-speaking clients and families
✨ Familiarity with DDD services and regulations (a big plus!)
✨ Excellent customer service and communication skills
✨ Strong organizational and time-management abilities
✨ Proficient in Microsoft Office and client management systems
✨ Associate’s degree in Business Administration or related field (Preferred)
