Office Assistant

PURPOSE

Perform a variety of administrative support and complex clerical duties as needed to expedite the day-to-day functions of the office, including some supervisory and reception functions.


FUNCTIONS

Administrative Support

  • Provide customer service and perform clerical and receptionist duties.
  • Perform data entry on standard forms and make posting to various records.
  • Support technicians in preparation and processing of documents and reports.
  • Act as initial point of contact for vendors and public
  • Coordinate and work with security companies, contractors, and technicians.
  • Compose and/or prepare various reports, letters, communications, and correspondences.
  • Forward paperwork/files of prospective clients.


SCHEDULING

  • Dispatch technicians 


ACCOUNTING

  • May issue Purchase Orders/requisitions.
  • Processes purchase requests.


Administrative Support:

  • Approve/Review time sheets for all employees.
  • Supports office administrator in the preparation and processing of various documents and reports.
  • Onboarding of new hires including filing employee documentation, setting up work devices with programs, email, and passcodes.


Accounting:

  • Monitors compliance with established budget and reconciles monthly bank statements.
  • Coordinates with vendors for problem resolution.
  • Receives and processes incoming invoices and verifies for accuracy and forwards to county clerk for payment.
  • Documents vehicle usage, gas consumption and use of departmental credit cards.
  • Compiles, edits, and sends monthly, quarterly, and yearly billings to the Department of Corrections, auditor, etc., as directed.

Reports:

  • Generates information essential to the preparation of crime analysis reports and prepares reports as required.
  • Maintains software, reports and accreditation.

MINIMUM QUALIFICATIONS

  • Education and Experience:
  • Graduation from high school; or GED equivalent
  • two (2) year of experience performing above or office related duties.


  • Knowledge, Skills, and Abilities:
  • Knowledge of the following (preferred, although on the job training available.) Modern office practices and procedures, i.e., grammar, spelling, and punctuation and maintaining various record systems.
  • MS Office, Excel, Word, Outlook, etc.
  • Computer terminal operation and programs. 
  • Skills Administrative procedures, basic bookkeeping.
  • Interpersonal communication skills.
  • Typing (40 wpm) and computer entry.
  •  Ability to exercise initiative, independent judgment, and to act resourcefully under varying conditions.
  • Ability to communicate effectively, verbally and in writing.
  • Establish and maintain effective working relationships with other employees, supervisors, contractors, clients and subcontractors.
  • Establish and maintain comprehensive records and files.



    • Work Environment:
    • Incumbent of the position performs in a typical setting with appropriate climate controls.
    • Tasks require a variety of physical activities, generally involving muscular strain, such as walking, standing, stooping, sitting, reaching, talking, hearing, and seeing.
    • Occasional lifting generally not to exceed 25 pounds.
    • Rapid work speed required to perform keyboard operations.
    • Common eye, hand, finger, leg, and foot dexterity exist. 
    • Mental application utilizes memory for details, verbal instructions, emotional stability and discriminating thinking.


    Job Type: Full-time

    Pay: $16.00 per hour
